Job Summary: Driving the flow of all legal documents for the Leasing and Lease Administration departments, ensuring accuracy at every step of the process and leads coordination of day-to-day Lease Administration activities, including the maintenance of lease abstracts and lease activities in the Yardi system. Partners cross-functionally with Leasing, Lease Administration, Construction, and Property Management to assist in producing the documentation and analysis required to inform lease decisions and uphold lease obligations. Works to further facilitate and lead in department goals while being a trusted resource for those in and out of the department.

Education: Bachelor’s degree required, or equivalent combination of education and experience. Paralegal education or certification preferred.

Experience: Knowledge of advanced office skills in Microsoft and knowledge of commercial real estate leases or paralegal experience preferred.

Skills: Skillful in Microsoft Word and Excel. Yardi enterprise software experience preferred. Detail oriented with strong organizational and communication skills. Ability to compose professional correspondence and manage a variety of work assignments. Ability to multitask with a variety of projects, a self-starter who can function without continuous direct supervision. Successful track record in independent decision making. Able to demonstrate language, math, and reasoning skills consistent with those in similar level positions.

Requirements: Ability to obtain and maintain an Indiana Notary Public certification. Has a valid driver’s license and reliable personal transportation means available. Occasional travel is required. Regular and reliable attendance.

DUTIES AND RESPONSIBILITIES:

1.Supports Lease Administration processes and completes all checklist tasks for any documentation that flows through the Leasing and Lease Administration Department and assists Director of Lease Administration with daily, weekly, and monthly document processing and checklist requirements for document signings.

2. Monitors lease expiration and renewal information and provide reports and details to Director of Lease Administration.

3. Assists in maintaining spreadsheets up to date with dark tenants, delivery and rent commence dates, easements, tenant allowances and other tenant lease statuses.

4.Assists Director or Lease Administration in preparation of leasing documents needed for new lease, extensions, amendments, modifications, assignments, etc.

5.Assists Lease Administration department in coordinating with Property Management on tenant deliveries and rent commencements.

6.Maintains weekly tracking sheet on document signings and finalizing documents for distribution and processing.

7.Enters new leasing information and maintains current leasing activities in Yardi, as needed.

8. Sends month-to-month letters to tenants, other correspondence requirements.

9.Assists Lease Administration department in lease compliance tracking and correspondence.

10. Assists in sending out legal notices, SNDA and Estoppels to tenants, as needed (i.e. landlord address change, etc.).

11.Updates and maintains lease abstracts for all Regency leases.

12. Responsible for taking minutes and follows up on to-do items from Real Estate Committee meetings.

13. Prepares mailings, overnight packages, and certified mail for Leasing, Lease Administration and Construction.

14.Performs other duties and/or projects as assigned.
