Job DescriptionJob Summary:

Integrated Staffing is looking to fill a full-time position for our New York State agency client's Office of General Counsel in downtown Manhattan. This role provides advanced paralegal and legal administrative support to the General Counsel and team, including preparing court filings, managing case files and calendars, coordinating subpoenas and discovery, and conducting legal research. This is a long-term State opportunity, ideal for someone with strong litigation support experience who enjoys detailed, deadline-driven work in a professional legal environment.

Pay Rate: 22.00hr - 26.00hr

Primary Responsibilities:

  • Work closely with the General Counsel and other attorneys to support a busy legal practice, handling confidential and sensitive matters.
  • Prepare, format, and assemble correspondence and case materials for lawsuits in state and federal courts.
  • Assist in the preparation and filing of pleadings, motions, briefs, and other legal documents, ensuring compliance with court rules and deadlines.
  • Draft subpoenas and related documents and coordinate service with appropriate parties.
  • Arrange for the filing and service of legal memoranda and other papers with courts and administrative bodies.
  • Conduct legal and factual research using online databases and internal resources; summarize findings in clear written or verbal form.
  • Assist with litigation holds and e-discovery, including searches, data collection, and organization of electronic records.
  • Create, update, and maintain databases, case tracking systems, and spreadsheets to monitor the status of matters, deadlines, and decisions.
  • Maintain organized case and correspondence files (both electronic and hard copy); ensure documents are properly indexed and retrievable.
  • Track dockets, hearings, conferences, and filing deadlines; update calendars and remind attorneys of upcoming dates.
  • Coordinate with internal program areas and external parties (courts, counsel, agencies) to obtain or relay information as directed.
  • Provide general administrative support to the legal team, including scheduling, copying/scanning, preparing mailings, and other duties as assigned.

Minimum Qualifications:

  • Associate's degree and at least 2–3 years of experience as a legal assistant, paralegal, or legal secretary in litigation, government, or a similar setting.
  • Demonstrated experience preparing and formatting legal documents and court filings.
  • Strong writing, proofreading, and document-editing skills with high attention to detail and accuracy.
  • Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint) and ability to learn agency-specific databases and case management systems.
  • Strong organizational skills with the ability to manage multiple cases, tasks, and competing deadlines in a fast-paced environment.
  • Ability to handle confidential information with discretion and sound judgment.
  • Excellent interpersonal and communication skills, with the ability to work collaboratively with attorneys, staff, and external contacts.

Preferred Qualifications:

  • Bachelor's degree in legal studies, criminal justice, public administration, political science, or a related field.
  • 4 years of progressively responsible experience in a legal office, law firm, or government counsel's office.
  • Prior experience supporting litigation in New York State and/or federal courts, including knowledge of court rules, e-filing systems (e.g., NYSCEF, PACER/ECF), and service requirements.
  • Familiarity with e-discovery tools, document review platforms, and litigation hold processes.
  • Experience maintaining legal databases, matter tracking systems, or similar case management tools.
  • Previous experience working with or for a New York State agency or other public-sector entity.
  • Demonstrated ability to prioritize work independently while still functioning as part of a collaborative legal team.
