Position Overview

The Maintenance & Engineering Coordinator supports administrative and operational activities within the Maintenance & Engineering division for a leading commercial aviation client. This role plays a critical part in enabling division personnel to perform their duties with a high degree of safety, reliability, and efficiency.

This is an individual contributor role that works closely with leadership across Materials, Components, Transitions, Maintenance Planning, and Technical Training teams to manage administrative, technology, and business support functions effectively.

Key Responsibilities

Support department leadership with the creation, maintenance, and publication of departmental metrics, policies, procedures, and guidelines.

Administer and maintain division SharePoint sites, ensuring content is accurate, current, and accessible to users.

Manage complex calendaring activities for Directors and Managing Directors, including coordinating schedules with internal stakeholders, senior executives, and external vendors.

Arrange logistics for on-site and off-site meetings, including meeting space, equipment, and catering as needed.

Coordinate new employee onboarding activities, ensuring appropriate badging, tools, system access, and workplace accommodations are in place to support a seamless onboarding experience.

Coordinate uniform requirements for Stores personnel.

Process vendor invoices and partner with Accounts Payable to ensure accurate and timely payment of supplier invoices.

Manage office supply coordination for assigned departments.

Support division and departmental recognition programs and assist with employee engagement initiatives.

Perform additional duties and administrative support tasks as assigned.

Qualifications & Skills

Previous experience in an administrative, coordination, or operations support role, preferably within aviation, engineering, or a regulated environment.

Strong organizational skills with the ability to manage multiple priorities and deadlines.

Proficiency with Microsoft Office tools and SharePoint; comfort working with calendars and scheduling tools.

Excellent written and verbal communication skills.

Ability to work effectively with senior leaders, cross-functional teams, and external vendors.

High attention to detail and commitment to accuracy, safety, and process compliance.
