Position SummaryWe are seeking an experienced Executive Assistant with an engineering and/or engineering project management background for a temporary assignment supporting a Vice President on a temporary basis.This position will provide high-level administrative, project, meeting, and travel support while working closely with the VP on day-to-day business activities. The selected candidate will receive hands-on training from the current Executive Assistant prior to the leave to ensure a smooth transition.The ideal candidate will have previous experience working within an engineering firm or technical environment, preferably with experience as a Project Manager or supporting engineering projects and leadership.
Essential Duties & Responsibilities

  1. Provide day-to-day executive and administrative support to the Vice President.
  2. Coordinate calendars, meetings, appointments, and business priorities.
  3. Attend meetings with the VP and assist with meeting preparation, documentation, follow-up, and action items.
  4. Coordinate and support local and out-of-town business travel.
  5. Travel with the VP to meetings and business engagements as needed.
  6. Assist with project-related documentation, correspondence, reports, and presentations.
  7. Communicate and coordinate with engineering teams, project managers, clients, and other business stakeholders.
  8. Track deadlines, priorities, and follow-up items to ensure timely completion.
  9. Maintain organized and confidential business records and information.
  10. Provide additional administrative and project support as needed.

Requirements / Qualifications

  1. Previous experience working within an engineering firm, engineering department, or similar technical environment required.
  2. Previous Project Management experience within an engineering environment strongly preferred.
  3. Experience supporting senior-level executives or leadership is highly desirable.
  4. Strong organizational and time-management skills with the ability to manage multiple priorities.
  5. Excellent written and verbal communication skills.
  6. Strong attention to detail and professional judgment.
  7. Comfortable attending meetings and interacting with executives, engineers, clients, and other business professionals.
  8. Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  9. Must possess a valid driver’s license and be comfortable driving as required for business-related activities.
  10. Must be willing and able to travel locally and to other cities with the Vice President as needed.
  11. Ability to maintain confidentiality and handle sensitive business information appropriately.
