Job Summary

The Legal Coordinator supports the daily administrative and operational functions of CSI Law's practice, working closely with attorneys, advisors, and the Law Office Operations Lead to keep member matters, documentation, and scheduling on track. This role is highly detail oriented and member focused, serving as an organizational backbone for the legal team so that estate planning and legal service delivery runs smoothly, accurately, and on time.


Key Responsibilities

Member and Matter Coordination

  • Open, organize, and maintain member legal files in accordance with firm procedures and confidentiality standards.
  • Track key dates, deadlines, and milestones across active matters, flagging items that need attorney or advisor attention.
  • Serve as a point of contact for members regarding document status, appointment scheduling, and general inquiries.
  • Prepare, proofread, and format legal documents, correspondence, and estate planning packages for attorney review.

Scheduling and Calendar Management

  • Coordinate attorney and advisor calendars, including member appointments, signings, and internal meetings.
  • Schedule and confirm document signings, notarizations, and witness appointments.
  • Manage conference room bookings and logistics for in-person and virtual member meetings.

Document and Records Management

  • Maintain accurate, organized digital and physical filing systems for legal documents and member records.
  • Process incoming and outgoing mail, filings, and document requests in a timely manner.
  • Support document execution logistics, including assembling signature packages and tracking returned documents.
  • Assist with data entry and updates in the firm's legal practice management and case tracking systems.

Team and Process Support

  • Partner with the Law Office Operations Lead to identify and improve administrative workflows.
  • Support billing and invoicing preparation by compiling time entries, expenses, and supporting documentation.
  • Assist with onboarding new members into the legal service line, including intake paperwork and file setup.
  • Provide general administrative support to attorneys and advisors as needed.


Qualifications

  • Associate's degree or equivalent experience required; paralegal certificate or related coursework a plus.
  • 1 plus years of experience in a legal, financial services, or professional office setting preferred.
  • Strong organizational skills with the ability to manage multiple deadlines and priorities simultaneously.
  • Excellent written and verbal communication skills with a member-focused mindset.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with legal practice management software.
  • High level of discretion and professionalism when handling sensitive and confidential information.
  • Strong attention to detail and follow-through on tasks from start to finish.
  • Ability to work both independently and collaboratively within a fast-paced legal team.
