We are looking for a highly organized and detail-oriented Project Management Associate to support capital improvement and facilities projects across our residential portfolio. The ideal candidate will be the central hub for project administration, ensuring efficiency, compliance, and quality from the initial bid phase through final closeout. This role is critical in maintaining the value and operational excellence of our properties.

• Bid Management: Prepare comprehensive bid packages, lead vendor walkthroughs, collect bids, and perform detailed bid leveling/analysis to support vendor selection.
• Contract Lifecycle: Draft and finalize contract documents, ensuring strict adherence to company legal and financial guidelines.
• Documentation & Communication: Serve as the primary point of contact for vendor communication, efficiently manage the RFI (Request for Information) process, and ensure effective collaboration with all internal and external stakeholders.
• Vendor Management: Track service contract expiration dates and increases, proactively monitor contractor insurance coverage to ensure continuous compliance.
• Regulatory Compliance: Monitor for building code violations, coordinate all necessary corrective actions, and track compliance with various regulatory requirements across the portfolio such as LL11, 84, 88, 87, 97, 126, 152, etc
• Budget Support: Assist the leadership team with inputs and data during the annual capital budgeting process.
• Due Diligence: Conduct necessary due diligence inspections for potential property acquisitions or major projects as required.

Job Qualifications

• Bachelor's Degree
• 2+ years of relevant experience, related to project or construction management, preferably in NYC
• Attention to detail and ability to learn quickly
• Excellent interpersonal and communication skills
• Highly organized and able to manage multiple projects at once
