Job DescriptionWe are looking for a detail-oriented Payroll Administrator to oversee end-to-end payroll operations for a seasonal workforce in New York. This contract position offers a path to a permanent role and focuses on delivering precise, on-schedule payroll processing across multiple jurisdictions while maintaining compliance with wage regulations and client reporting standards. The role also contributes to onboarding support, benefits coordination, retirement plan administration, and maintenance of employment-related records.
Responsibilities:
• Process complete payroll cycles in QuickBooks for a seasonal employee population, ensuring wages are calculated accurately and issued on schedule.
• Review timesheets, verify hours and pay data, and resolve discrepancies before finalizing payroll submissions.
• Administer payroll activities across multiple states while adhering to applicable tax, wage, and labor requirements.
• Prepare reconciliations, payroll summaries, and related reports to support accurate financial and operational recordkeeping.
• Generate certified payroll documentation and prevailing wage reports in accordance with client and regulatory expectations.
• Assist with onboarding setup, employee payroll records, and required employment documentation to support a smooth onboarding process.
• Coordinate benefit deductions and retirement plan updates to ensure employee elections are reflected correctly in payroll.
• Maintain organized safety and compliance records connected to workforce administration and audit readiness.
• Associate's degree in Accounting, Finance, Human Resources, or a related field, or equivalent combination of education and experience.
• 2+ years of payroll administration experience; experience with certified payroll and prevailing wage reporting strongly preferred.
• Proficiency with QuickBooks payroll processing; experience with multi-state and multi-jurisdiction payroll a plus.
• Working knowledge of federal and state payroll tax requirements, quarterly filings, and year-end W-2 reconciliation.
• Familiarity with 401(k) plan administration and Form 5500 filing requirements.
• Understanding of OSHA recordkeeping requirements and workers' compensation claim reporting.
• Strong proficiency in Microsoft Excel.
• Excellent attention to detail and accuracy, particularly when handling sensitive employee and financial data.
• Strong organizational and time-management skills, with the ability to consistently meet weekly payroll deadlines.
• Ability to maintain strict confidentiality of employee and payroll information.
• Strong written and verbal communication skills for coordinating with employees, agencies, and benefit providers.
