We are seeking a dependable, detail-oriented Front Desk Scheduler to join a fast-growing medical practice in Flemington, NJ. In this role, you will serve as a primary point of contact for patients, managing high-volume inbound calls and ensuring seamless scheduling across a multi-provider practice.

Responsibilities

\n


\n


\n


\n

    \n
  • Patient Communications: Manage 200+ inbound patient calls daily, providing excellent customer service, answering inquiries regarding appointments, and detailing office procedures or prep requirements.
  • \n

  • Appointment Management: Schedule, reschedule, and cancel patient appointments in alignment with provider availability, office guidelines, and provider templates to maximize daily schedule efficiency.
  • \n

  • Patient Intake & Verification: Obtain and accurately verify patient demographics, contact details, and insurance information.
  • \n

  • System Documentation: Record all patient interactions and appointment details accurately in NextGen EMR (or related scheduling systems).
  • \n

  • Interdepartmental Coordination: Partner closely with physicians, nursing staff, and administrative personnel to maintain optimal patient flow and resolve scheduling conflicts.
  • \n

  • Issue Escalation: Handle patient inquiries professionally and route clinical or complex concerns to the appropriate department.
  • \n

  • Compliance & Office Support: Maintain strict patient confidentiality in compliance with HIPAA regulations and company policies while performing routine administrative duties.

Qualifications

  • Prior experience working in a medical office or healthcare setting.
  • \n

  • Proven ability to handle high-volume inbound calls while maintaining accuracy, professionalism, and speed.
  • \n

  • Strong verbal and written communication skills paired with excellent customer service capabilities.
  • \n

  • Solid multitasking and prioritization skills in a fast-paced work environment.
  • \n

  • High attention to detail with accurate data entry skills.
  • \n

  • Basic understanding of medical terminology and office workflows.
  • \n

  • Strong commitment to protecting patient privacy and strictly adhering to HIPAA standards.
