Compensation Base Range: $55,000.00 - $70,000.00 Annually

ABOUT THE ROLE:
As a Corporate Legal Specialist, you will play a pivotal role in supporting the legal operations of our organization. This position requires a detail-oriented, proactive, and highly organized professional with strong analytical and writing skills who thrives in a dynamic, fast-paced environment. You will provide critical support to the legal team by managing essential documentation, supporting compliance efforts, administering systems, coordinating workflows, and helping maintain the overall efficiency of legal operations.
This role offers a unique opportunity to work cross-functionally across departments, exercise sound judgment, and contribute to the legal infrastructure that enables the business to grow and innovate with confidence.
ESSENTIAL FUNCTIONS: include the following. Other duties may be assigned.
- Prepare, proofread, and edit various legal documents, including but not limited to, form contracts, NDAs, IP assignments, and patent declarations.
- Draft, proofread, edit, redact, organize, track, maintain, and file various business documents in accordance with established protocols, including presentations, spreadsheets, graphs/charts, letters, messages, reports, memoranda, meeting agendas, meeting minutes, and other corporate documents as requested.
- Administer contract/matter management system and generate reports as requested.
- Perform basic legal research, as requested, and summarize findings in writing.
- Execute notarial acts, including witnessing signatures, administering oaths, and certifying documents, in accordance with legal requirements and regulations.
- Managing brand enforcement program and outside service provider.
- Provide administrative support and a broad variety of tasks that include scheduling and managing complex calendars.
- Assist with general office duties including management and filing of documents and correspondence, responding to general email inquiries, and circulating legal documents for signature.
- Prepare expense reports and ensure adherence to budgetary guidelines.
- Interface with accounting to maintain department budget.
- Assist with the development of Standard Operating Procedures to improve office processes and efficiencies.
- Assist with attorney registrations for webinars and conferences and track Continuing Legal Education (CLE) credits and attorney memberships.
- Arrange travel logistics, including booking flights, hotel accommodations, and transportation, as well as preparing travel itineraries and other requested travel related documentation.
- Assist with the onboarding and offboarding process for members of legal team.
- Participate in training programs, workshops, and professional development opportunities to enhance skills and knowledge.
- Assist with special projects, as needed.

COMPUTER SKILLS:
- Proficiency with Microsoft Office 365 Suite (e.g., Outlook, Word, PowerPoint, Excel, OneNote, SharePoint, and Teams) and Adobe Acrobat required. Experience and fluency with IP and contract management platforms are highly desirable. Proficiency with CAD viewers is nice to have.
EDUCATION AND/OR EXPERIENCE:
- Bachelor's degree in Legal Studies, Paralegal Studies, Communication, or similar is preferred.
- Experience with intellectual property matters and contract management systems highly desirable.
- Experience in a law firm or corporate legal department preferred.
- Notary Public or be willing and eligible to become a Notary Public.
