Law Firm Support Assistant

About the Firm

We are a small intellectual property boutique law firm seeking an organized, motivated, and detail-oriented Assistant to support both legal and administrative operations. This is an entry-level on-site/in person position well suited for a candidate who is eager to learn, takes initiative, and enjoys working in a professional, detail-driven environment.

Position Summary

The Assistant will provide support to attorneys, paralegals, and administrative staff in connection with intellectual property matters, including patents and trademarks, as well as general office operations. The ideal candidate will be dependable, highly organized, careful with details, and able to manage multiple tasks and deadlines.

Prior intellectual property or legal experience is helpful but not required. Training will be provided.

Key Responsibilities

Paralegal and Legal Support

  • Assist with preparation, organization, and filing of patent, trademark, and other intellectual property documents.
  • Maintain and update client files, matter records, and document databases.
  • Help track deadlines, docket dates, and matter status updates.
  • Prepare routine correspondence and forms under attorney or paralegal supervision.
  • Review documents for accuracy, completeness, formatting, and consistency.
  • Assist with electronic filings through government and legal filing systems.
  • Conduct basic research and retrieve publicly available records as needed.
  • Coordinate signatures, document execution, and client communications.

Administrative Support

  • Answer phones, route communications, and greet visitors in a professional manner.
  • Manage incoming and outgoing mail, deliveries, and electronic correspondence.
  • Assist with scheduling meetings, calls, and internal deadlines.
  • Help maintain organized electronic and physical filing systems.
  • Support billing, invoice preparation, expense tracking, and basic data entry.
  • Coordinate office supplies, vendors, and general office needs.
  • Assist with special projects and other duties as assigned.

Qualifications

  • Entry-level candidates are welcome to apply.
  • Bachelor’s degree, associate degree, paralegal certificate, or relevant office experience preferred but not required.
  • Strong organizational skills and ability to manage multiple priorities.
  • Excellent attention to detail and commitment to accuracy.
  • Self-motivated, dependable, and able to follow through on assignments.
  • Strong written and verbal communication skills.
  • Professional judgment and ability to handle confidential information.
  • Comfortable learning new software, databases, and filing systems.
  • Proficiency with Microsoft Office, Adobe Acrobat, and general computer applications essential.
