General Summary

The Administrative Scale Clerk provides customer service and administrative support while managing daily scale house operations. This position answers phones, processes material orders, records truck weights, prepares tickets and invoices, collects payments, and communicates with customers, drivers, and equipment operators. The ideal candidate is organized, detail-oriented, and comfortable working in a fast-paced environment.

Principal Duties and Responsibilities

  • Answer incoming phone calls and direct calls as needed.
  • Greet customers and provide professional, courteous service.
  • Take rock and material orders by phone and enter order information accurately.
  • Record truck weights as vehicles enter and exit the scale.
  • Communicate with drivers regarding materials being purchased or delivered.
  • Prepare scale tickets, invoices, and other required documentation.
  • Collect and accurately process payments by cash, check, or credit card.
  • Contact customers regarding past-due accounts as directed.
  • Communicate with loader operators regarding customer orders and material needs.
  • Maintain organized and accurate customer, order, payment, and scale records.
  • Complete filing, data entry, and other administrative duties as assigned.

Physical Requirements

  • Frequently sit and use a computer, telephone, keyboard, and other office equipment.
  • Occasionally stand, walk, bend, reach, and move throughout the office and scale house.
  • Ability to lift and carry office supplies or materials weighing up to 25 pounds occasionally.
  • Ability to communicate clearly with customers, drivers, and employees in person and by phone.
  • Ability to work in a scale house environment with exposure to outdoor weather conditions, dust, noise, trucks, and heavy equipment.

Work Schedule

  • Monday through Thursday: 9:00 a.m.–5:00 p.m.
  • Friday: 8:00 a.m.–4:00 p.m.
