Role Overview
The Legal Secretary will provide comprehensive litigation and administrative support to attorneys handling plaintiff personal injury matters, managing cases from intake through resolution.
This is a fully onsite role based in the firm’s Hamilton office.
Key Responsibilities
Perform full legal support duties including client intake, gathering medical records, and case file management
Draft, proofread, and format pleadings, discovery demands, discovery responses, motions, and correspondence
Electronically file documents with New Jersey State and Federal courts
Track and manage critical deadlines, calendars, and court schedules
Serve as a primary client liaison, professionally handling inbound calls and case communications
Schedule and coordinate:
Depositions
Mediations
Court appearances
Expert meetings
Settlement conferences and trials
Coordinate with witnesses, experts, and opposing counsel
Draft settlement disbursement reports
Process expense reimbursements and professional service invoices
Handle general administrative tasks: scanning, filing, copying, mailing, and mail distribution
Support attorneys and team with additional responsibilities as assigned
Qualifications
2+ years of personal injury litigation experience required (up to 8 years welcomed)
Strong understanding of:
Legal terminology
Pleadings and discovery
NJ court procedures
Proficiency with NJ E-Courts e-filing system
Advanced working knowledge of Microsoft Office
Experience with legal case management software (FileVine strongly preferred)
Fluency in Spanish, Russian, Gujarati, or Hindi is a plus
Highly detail-oriented, organized, and accurate
Ability to manage multiple matters in a fast-paced litigation environment
Demonstrated professionalism, discretion, judgment, and confidentiality
Self-directed with strong problem-solving and analytical skills
Comfortable learning and adapting to new legal technologies, including AI-enabled tools
