The Maintenance Coordinator plays a key role in planning, coordinating, and executing a wide range of maintenance activities, including preventive maintenance programs, on-demand repairs, warranty work, and small-scope improvement projects. This role is ideal for someone with experience coordinating electrical, HVAC, lighting, or building systems maintenance who enjoys working across customers, technicians, and internal teams to keep facilities operating smoothly.
You’ll serve as the central point of coordination between customers, vendors, and field labor partners (electricians, technicians, and contractors), ensuring maintenance work is scheduled, tracked, completed, and closed out efficiently. The Maintenance Coordinator works closely with Logistics, Procurement, Project Management, and Finance to deliver high-quality, timely maintenance solutions.
Essential Responsibilities
- Coordinate maintenance work orders from start to finish, including setup, scheduling, material ordering, vendor/technician coordination, warranty tracking, closeout, and invoicing
- Manage preventive and route-based maintenance programs as well as on-demand and emergency maintenance requests
- Coordinate and oversee small maintenance or repair projects using established systems, software, and project management best practices
- Serve as a primary customer contact, providing clear communication, timely updates, and best-in-class customer service
- Schedule and manage labor partners (electricians, HVAC techs, lighting technicians, and other trades) to meet maintenance requirements
- Participate in a rotating on-call schedule to support emergency, off-hours, or overnight maintenance needs
- Ensure vendors and internal teams adhere to defined scopes of work, budgets, timelines, and quality standards
- Review completed maintenance work, identify trends or areas for improvement, and communicate recommendations to internal stakeholders
- Collaborate with internal teams to maintain consistency and quality across all maintenance and service activities
- Track work order data, maintenance metrics, and status updates in systems
- Contribute ideas to improve maintenance workflows, processes, and department efficiency
- Develop subject matter expertise in key maintenance and building systems to better support customers and field teams
- Perform other related duties as assigned
Skills & Abilities
- Strong interpersonal and communication skills with customers, vendors, and internal teams
- Comfortable coordinating technical work (electrical, HVAC, lighting, or facilities maintenance) even if not performing hands-on labor
- Highly organized with the ability to manage multiple work orders, projects, and priorities simultaneously
- Strong problem-solving and critical-thinking skills, especially in fast-paced or urgent situations
- Detail-oriented with a focus on accuracy, follow-through, and documentation
- Flexible and adaptable; able to respond to last-minute changes or emergency requests
- Proficient in Microsoft Excel and working with data, schedules, and budgets
- Working knowledge of Microsoft Office and Windows-based systems
- Ability to work independently while also collaborating effectively as part of a team
Education
- Bachelor’s degree preferred, or equivalent combination of education and relevant maintenance coordination experience
Experience
- 1–3 years of experience in maintenance coordination, facilities support, service dispatch, or customer service
- Experience working with vendors, contractors, technicians, or trade partners (electrical, HVAC, mechanical, or similar)
