Join Utah Valley University's Accessibility Services team and play a key role in supporting programs and services that help students achieve their educational goals. As an Administrative Support III, you will serve as a trusted partner to departmental leadership, coordinating office operations, managing projects, overseeing budgets and purchasing activities, and helping ensure the efficient delivery of services. Summary of Responsibilities


  • Perform a wide range of complex and confidential administrative tasks, including drafting routine correspondence, managing records, collecting data, and supporting financial processes such as time approvals, requisitions, purchase orders, travel arrangements, EPAF submissions, and scholarship processing. Coordinate onboarding and offboarding procedures for staff, ensuring timely completion and submission of new-hire documentation in compliance with university policies. Maintain up-to-date knowledge of institutional policies and departmental procedures to ensure operational compliance and consistency. Anticipate departmental needs and proactively implement solutions, including processing facilities requests and work orders, and managing inventory systems for office supplies, technology, and equipment. Leverage technical expertise to integrate technology and AI tools that enhance operational efficiency and streamline administrative workflows.
  • Under the guidance of the Program Director, oversee daily front desk operations, including appointment scheduling, monitoring traffic flow, and coordinating coverage to ensure consistent service. Provide leadership and mentorship to student employees by modeling professional communication, customer service excellence, and effective handling of phone calls, walk-in inquiries, and scheduled appointments. Monitor departmental email and voicemail accounts, ensuring timely follow-up by appropriate staff and maintaining accurate records of student interactions and service delivery. Support departmental outreach and communication efforts by updating the website, managing social media platforms, and contributing to newsletters and promotional materials. Participate in planning and executing outreach events, including scheduling, coordinating food orders, setting up event spaces, and post-event breakdown.
  • Provide administrative support for accommodation processes and departmental initiatives under the guidance of the leadership team. Assist with the implementation of accommodations, which may include classroom support, logistical coordination, and collaboration with faculty and staff. Create, maintain, and update sensitive records and databases, and prepare administrative reports to support the delivery and tracking of accommodations for students with disabilities. Manage the notetaking program by generating reports, assigning software licenses, recruiting peer notetakers, and communicating effectively with students and instructors. Utilize the department's software management system to maintain accurate student records and monitor accommodation usage; provide system access and training to staff to ensure effective utilization. Oversee the equipment check-out system, including developing and maintaining procedures, tracking inventory, and ensuring accurate record-keeping.

Qualifications / Licenses / Certifications


Bachelor's degree or equivalent combination of education and experience in administrative support, education, social services, or a related field.

Preferred Qualifications:

  • Bachelor's degree in education, disability services, public administration, or a related field.
  • Experience working in accessibility services or with students with disabilities.
  • At least two years of administrative experience in a professional office setting, preferably in higher education or student services.
  • Fluent in a second language, preferably Spanish or ASL.

  • University policies and procedures related to hiring, financial processing, accommodations, and student services.
  • Accessibility services and accommodation practices, including legal and institutional frameworks (e.g., ADA, Section 504).
  • Administrative and office management principles, including recordkeeping, inventory control, and workflow optimization.
  • FERPA and confidentiality standards for handling sensitive student information.
  • Technology platforms commonly used in higher education (e.g., student information systems, accommodation management software, HR/payroll systems).
  • Digital communication tools, including website content management systems, social media platforms, and email marketing software.
