Purpose Statement
The Executive and Project Manager is a trusted strategic and operational partner to the Chief Executive Officer (CEO) and Executive Leadership Team (ELT). This role is responsible for ensuring organizational priorities move forward with clarity, discipline, and follow-through. The Executive and Project Manager oversees executive-level project tracking, supports board governance and administration, manages key stakeholder and stewardship coordination, and ensures compliance monitoring and policy maintenance across the organization.
This role is ideal for a highly organized, proactive professional who excels at managing complexity, anticipating needs, and translating strategy into executable plans. The Executive and Project Manager serves as the connective tissue between the CEO, ELT, Board of Directors, and key stakeholders—bringing structure, accountability, and momentum to MICC’s most critical work.
Essential Functions
Executive Leadership Project Management
- Maintain and manage the Executive Leadership project tracker, ensuring priorities, timelines, owners, and dependencies are clearly defined and updated
- Partner with the CEO and ELT to translate strategic goals into actionable work plans and milestones
- Monitor progress on cross-functional initiatives, flag risks or delays, and support course correction
- Prepare executive-level dashboards, summaries, and briefing materials to support informed decision-making
- Support preparation, facilitation, and follow-up for leadership meetings, including agendas, materials, action items, and accountability tracking
Board Governance & Administration
- Serve as a primary administrative and coordination partner for the Board of Directors
- Manage board and committee calendars, meeting schedules, agendas, and materials
- Support board onboarding, annual cycles, and governance processes
- Maintain board records, resolutions, minutes, and official documentation in alignment with governance best practices
- Partner with the CEO and Board Officers to ensure effective board engagement, communication, and information flow
Compliance Monitoring & Policy Maintenance
- Maintain and monitor organizational compliance calendars, requirements, and deadlines
- Support policy development, updates, approvals, and version control
- Track compliance-related action items across departments and leadership
- Ensure policies and governance documents are current, accessible, and aligned with regulatory and funder requirements
- Partner with internal leaders and external advisors as needed to support compliance efforts
- Serve as point person for periodic accreditation visits including CARF
Stakeholder & Stewardship Scheduling and Communications
- Coordinate scheduling and preparation for key stakeholder, donor, partner, and stewardship meetings involving the CEO and ELT
- Ensure timely, thoughtful follow-up communications, materials, and documentation
- Maintain systems to track stakeholder engagement, touchpoints, and commitments
- Support alignment between stewardship efforts, executive priorities, and organizational strategy

Requirements:

Education and Experience
- 5+ years of experience in project management, executive operations, nonprofit administration, or a related field
- Demonstrated experience supporting senior leadership and/or Boards of Directors
- Strong project management skills with the ability to manage multiple priorities simultaneously
- Exceptional organizational skills and attention to detail
- Proven ability to work cross-functionally and build strong working relationships
- Excellent written and verbal communication skills
- High level of discretion, professionalism, and judgment when handling sensitive information
- Comfort operating in both strategic and tactical spaces
