A day in the role

As the RFQ Quotation Operations Coordinator, your morning begins with new RFQs, drawings, and specifications landing in your queue. You triage and organize them, set priorities, and assemble the first-pass quote package so the Quote Team Manager and stakeholders can move quickly. Throughout the day, you’re the hub—linking Engineering for technical inputs, Purchasing for supplier data, Operations and Quality for manufacturability insights, and Sales for customer context. You capture details in the ERP and Excel, track status meticulously, and keep updates flowing until each quote is submitted cleanly and on time.

What you will do

  • Review incoming RFQs, drawings, specifications, and customer documentation.
  • Process and organize quote requests for internal review and prioritization.
  • Prepare initial quote documentation and complete data entry in ERP systems and spreadsheets.
  • Coordinate with Engineering, Purchasing, Operations, Quality, and Sales to gather inputs required for pricing and proposal accuracy.
  • Track quote status, maintain orderly records, and ensure timely follow-ups.
  • Assist with quote revisions and updates; support post-submission activities as needed.
  • Communicate professionally with internal teams regarding requirements, open items, and timelines.
  • Provide administrative and quoting support to the Quote Team Manager.
  • Verify the accuracy and completeness of documentation prior to submission.

What you bring

  • High school diploma required; associate degree preferred.
  • Experience in administrative support, customer service, manufacturing, or quoting preferred.
  • Exceptional attention to detail and strong organizational habits.
  • Ability to manage multiple deadlines in a fast-paced manufacturing setting.
  • Clear written and verbal communication skills.
  • Proficiency with Microsoft Office (especially Excel); ERP experience preferred.
  • Team-first mindset and collaborative work style.

Role logistics

  • Work Environment: Office setting with regular interaction with production and warehouse areas.
  • Physical Demands: Role may require occasional walking, standing, and warehouse site visits.
  • Schedule: Full-time, Monday to Friday, with flexibility for extended hours as needed.
  • Location & Travel: Onsite in Milford, CT. Occasional travel may be required for supplier visits, conferences, and inter-facility coordination.
