Our firm is seeking a Roofing Project Coordinator to support a major national retailer known for its large, complex facilities portfolio. In this role, you will help administer and coordinate roofing capital projects, warranty work, and assessment-driven initiatives across a multi-site environment. This position is ideal for a detail-oriented professional who excels at cross-functional communication, data accuracy, and project lifecycle management.
Job Description
As a Roofing Project Coordinator, you will oversee project setup, milestone tracking, portfolio data management, and closeout processes. You will also play a central role in maintaining system accuracy, coordinating communications, and ensuring timely project execution across multiple internal teams and vendors.
Key Responsibilities
Portfolio & Data Management
- Pull and validate site drawings for both planned and unplanned roofing projects
- Maintain and update Smartsheet dashboards for real-time portfolio visibility
- Clean, archive, and manage legacy Smartsheet data
- Manage access permissions, including Dynamic View configurations
- Validate portfolio data accuracy in Maximo ahead of asset updates
- Maintain date tracking and milestone accuracy within Skylight
- Support setup of new store roofing asset portfolios
- Maintain roofing assessment data, including generating lists, updating results, and supporting scheduling needs
Project Activation & Work Order Management
- Open and maintain project locations in SAP and Skylight
- Bulk-load work orders for roofing replacement projects
- Create and manage warranty-related work orders
- Load assessment follow-up work orders for vendor assignment
- Support Roofing Operations Center processes
- Manage project closeouts, ensuring documentation completeness and timely vendor payment
Milestone Tracking & Communication
- Maintain and update project milestones in Smartsheet and Skylight
- Support tracking of contract documentation
- Draft and manage store and field communications for planned and unplanned work
- Monitor Viva Engage and escalate legitimate issues to reduce unnecessary capital escalations
- Schedule and coordinate kickoff calls and milestone reviews
- Support ad hoc reporting, business reviews, and visibility updates
Success Measures
- On-time activation and completion of roofing capital and assessment projects
- Accurate, up-to-date portfolio data across all systems
- Timely and complete project closeouts to ensure vendor payment
- Reduction in escalations through proactive issue management
- Improved milestone compliance and program visibility
Qualifications
Required Qualifications:
- Proven ability to manage multiple projects simultaneously with strong attention to detail
- Proficiency inor ability to quickly learnenterprise systems including Smartsheet, Skylight, SAP, Maximo, Procore, and Microsoft Office
- Strong customer service mindset and cross-functional collaboration skills
- Excellent organizational, written communication, and prioritization abilities
Preferred Qualifications:
- 510 years of experience in facilities management, construction coordination, or capital program support
