We are seeking a full-time Legal Assistant to join our growing practice. This is an in-person role supporting attorneys with estate planning and elder law matters. The ideal candidate is detail-oriented, reliable, and comfortable working with sensitive client information in a fast-paced professional environment.
Compensation:
$21 - $23 hourly
Responsibilities:
Document Preparation and Management:
- Scan, upload, and organize documents within client files.
- Print estate planning documents, ensuring all necessary documents are prepared, organized, and presented to clients for execution.
- Process documents after signing, including scanning, copying, and distribution to clients.
- Prepare deeds and record executed deeds in the appropriate county.
- Maintain and update client files, both physical and digital, ensuring all documents are accurately filed and easily accessible.
Client Interaction:
- Handle client inquiries and correspondence, ensuring timely and accurate communication.
- Serve as a primary point of contact for the firm’s membership program, assisting members with questions and requests.
- Schedule client appointments and follow-up meetings, coordinating with attorneys’ calendars.
- Assist in gathering and organizing client information and documents needed for estate planning.
Technology and Software Management:
- Utilize estate planning software and other legal technology tools to assist in document preparation and client management.
- Maintain proficiency in Microsoft Office Suite, including Word, Excel, and other software used by the firm.
Case Management:
- Track the status of ongoing cases, keeping attorneys informed of upcoming deadlines and required actions.
- Assist with the preparation of materials for client meetings.
Qualifications:
- Experience: Minimum of 3 years of experience as a legal assistant, preferably in estate planning or a related legal field.
- Education: High school diploma or equivalent; a degree or certificate in legal studies or paralegal certification is preferred.
- Skills: Strong organizational and multitasking abilities, excellent written and verbal communication, proficiency in Microsoft Office Suite and legal software, attention to detail and accuracy in document preparation, ability to maintain confidentiality and handle sensitive information with discretion, and professional demeanor and client-focused attitude.
