Project Assistant – Document Control / Timekeeping / Procurement Support
The Project Assistant provides administrative and project support to the construction team on a large-scale data center project. This role is responsible for document control, supporting timekeeping processes, and assisting with the ordering and tracking of small tools and consumables. The ideal candidate is highly organized, detail-oriented, and able to thrive in a fast-paced, site-based environment.
Key Responsibilities:
Document Control:
- Maintain and organize project documentation, including RFIs, submittals, drawings, and correspondence
- Ensure proper version control and distribution of project documents to internal teams and subcontractors
- Track and log incoming/outgoing documents and maintain document control systems (Procore, SharePoint, etc.)
- Assist with document turnover and closeout packages
Timekeeping Support:
- Assist with daily and weekly time entry for field personnel
- Track and verify labor hours, ensuring accuracy and timely submission
- Coordinate with supervisors to resolve discrepancies in time reporting
- Support payroll processes as needed
Procurement Support (Small Tools & Consumables):
- Coordinate ordering of small tools, PPE, and consumable materials
- Track inventory levels and maintain supply logs
- Work with vendors and internal teams to ensure timely delivery of materials
- Maintain records of purchases and receipts
General Project Support:
- Assist project managers, superintendents, and project controls teams with administrative tasks
- Support meeting coordination, note-taking, and reporting
- Maintain organized filing systems (digital and hard copy)
- Ensure compliance with site procedures and documentation standards
Qualifications:
- 2+ years of administrative or project support experience in construction or related industry preferred
- Experience with document control processes and systems (Procore, SharePoint, or similar)
- Basic understanding of timekeeping and payroll support processes
- Experience supporting procurement or purchasing activities is a plus
- Proficiency in Microsoft Office (Excel, Word, Outlook)
Preferred Experience:
- Experience on data center or mission-critical construction projects
- Familiarity with construction documentation (RFIs, submittals, drawings)
- Experience working in a field/site-based environment
