Job Description

Job DescriptionOur client, an established and highly respected law firm on Las Olas, is seeking an experienced Estate Planning Legal Assistant / Paralegal to support attorneys in estate planning matters and the administration of estates and trusts. This is a full-time, in-office role offering long-term stability, a collaborative team environment, and the opportunity to work with a sophisticated practice group.

Key Responsibilities:
Provide high-level administrative and paralegal support for estate planning and estate/trust administration matters
Draft, proofread, and file pleadings, correspondence, and legal documents in state court systems
Manage electronic and paper case files, calendars, deadlines, and court hearing scheduling
Coordinate client appointments and handle incoming/outgoing correspondence
Assist with billing processes, expense tracking, reimbursements, and attorney narratives
Open cases, conduct conflicts checks, and collaborate with firm departments (billing, records, training)
Calculate court deadlines and ensure compliance with procedural requirements
Answer, screen, and direct calls and emails; provide professional client communication
Support multiple attorneys in a fast-paced, high-volume environment

Qualifications:
Minimum 5 years of law firm experience as a legal assistant or paralegal (estate planning / estate & trust administration preferred)
Florida probate experience is a plus
Experience working with multiple attorneys in a mid-to-large firm environment
Strong knowledge of state court filing procedures and deadlines
Excellent written and verbal communication skills
Highly organized, detail-oriented, and able to manage multiple priorities under deadlines

Technology & Skills:
Proficient in Microsoft Office (Outlook, Word, Excel)
Experience with law firm case management and billing systems
Familiarity with iManage, SmartTime, Aderant, Wealth Counsel, Estate Works, and Hot Docs is a plus
Strong attention to detail, initiative, and follow-through
