Job Overview:
We are seeking a friendly, highly motivated, and organized Patient Care Representative to join our Front Desk team at Metropolitan Skin Clinic. This role requires a dynamic individual who thrives in a fast-paced environment and is comfortable handling a high volume of incoming calls, appointments, and inquiries. The ideal candidate will be patient, detail-oriented, and adept at multitasking while providing excellent customer service to our patients. You will be the first point of contact for clients, ensuring they have a welcoming and seamless white-glove experience from the moment they walk through the door or contact us.

Key Responsibilities:

  • Client Interaction: Greet clients upon arrival, assist with check-in, and ensure they are comfortable and informed about their appointments and services.
  • Appointment Scheduling: Manage and schedule appointments efficiently, including handling rescheduling, cancellations, and follow-ups, ensuring optimal appointment flow. (Previous experience with Zenoti Software is a plus!)
  • Phone & Email Communication: Handle a high volume of inbound calls, emails, and online inquiries in a courteous and professional manner, providing accurate information about services, promotions, and policies.
  • Multitasking in a High-Volume Environment: Manage multiple tasks simultaneously, including answering calls, scheduling appointments, addressing client concerns, and maintaining a clean, organized reception area.
  • Customer Service: Provide exceptional customer service by addressing patient concerns and resolving any issues that may arise, always maintaining a calm and positive demeanor.
  • Data Entry & Record Keeping: Accurately input client data/demographics, update patient records, and ensure all information is handled confidentially and in compliance with privacy regulations (HIPPA/PPI).
  • Assist in Med Spa Operations: Support spa staff with any operational needs, such as preparing rooms, flipping laundry, confirming service details, promotional launches, and ensuring the clinic area remains clean and welcoming.
  • Sales Support: Promote spa services, products, and specials to clients, providing them with recommendations tailored to their needs.
  • Team Work: Collaborate with other staff members to ensure seamless operations within the front desk area.

Key Skills & Qualifications:

  • Previous experience in a customer service or front desk role, preferably in a medical spa, healthcare, or beauty industry.
  • Excellent phone etiquette and communication skills to interact effectively with patients and team members.
  • Strong ability to multitask, manage time efficiently, and prioritize tasks in a fast-paced, high-pressure environment.
  • Excellent verbal and written communication skills.
  • Patient, compassionate, and detail-oriented with the ability to manage high-stress situations with professionalism.
  • Strong problem-solving skills and the ability to think on your feet.
  • Proficient with office software (e.g., MS Office, scheduling systems, etc.) and comfortable learning new software as needed.
  • Ability to maintain confidentiality and adhere to HIPAA and other privacy regulations.
  • Flexible and adaptable to changing needs and schedules.
  • High school diploma or equivalent (college degree is a plus).

Physical Requirements:

  • Ability to sit or stand for extended periods of time.
  • Must be able to handle light physical tasks, such as lifting packages or cleaning the front desk area as needed.

Job Type: Part-time

Pay: $17.03 - $21.00 per hour

Expected hours: No more than 20 per week
