Location: Chicago, IL (Hybrid or On-site)

Employment Type: Contract Role

Hourly Rate: $36/hour, working 37.5-hours per week

Reports To: Senior Development Strategist

Through advocacy, outreach, and partnerships with healthcare professionals, NKFI is committed to reducing the burden of kidney disease and enhancing access to treatment and care across Illinois.

Position Summary

We are seeking an experienced and detail-oriented Donor Database Manager to oversee and optimize our use of DonorPerfect, the organization’s central donor management system. With at least three years of hands-on experience in DonorPerfect, the ideal candidate will ensure data accuracy, support fundraising campaigns with targeted reporting, and help drive a culture of data-informed philanthropy.

Key Responsibilities

  • Serve as the primary administrator of the DonorPerfect CRM platform.
  • Review in detail the data alignment project and develop an execution plan for addressing any issues noted.
  • Maintain accurate and up-to-date donor records, including gifts, pledges, event attendance, and contact information.
  • Process daily donations and acknowledgments with efficiency and accuracy.
  • Design and run custom reports to support annual appeals, donor segmentation, and campaign analysis.
  • Provide in-house DonorPerfect support and training for development and finance teams.
  • Collaborate with the fundraising team to streamline workflows and ensure CRM alignment with fundraising goals.
  • Uphold database best practices, including consistent coding and documentation.
  • Coordinate data imports/exports from external systems (e.g., email marketing platforms, event systems).
  • Support list preparation for mailings, emails, stewardship, and prospect research.
  • Monitor and improve data hygiene and integrity on a regular basis.

Required Qualifications

  • Minimum of 4 years of direct experience using DonorPerfect in a nonprofit or fundraising setting.
  • Proficient in Microsoft Excel, including data manipulation, filters, and VLOOKUP or pivot tables.
  • Experience using DonorSearch for prospect research and donor qualification.
  • Strong understanding of nonprofit fundraising operations, including annual giving and donor stewardship.
  • Highly organized with attention to detail and a proactive problem-solving mindset.
  • Ability to manage multiple tasks and deadlines independently.
  • Strong interpersonal and communication skills; comfortable working across teams.

Preferred Qualifications

  • Experience with DonorPerfect, Constant Contact, QuickBooks, OneCause/Classy, or similar systems.
  • Familiarity with fundraising analytics, campaign tracking, and data segmentation.
  • Prior experience supporting a fundraising team of 3 or more people.
  • Experience reconciling development and finance data.
