POSITION TITLE: COMMUNITY MANAGER

JOB TYPE:

A salaried position for assignment to the Community Management team. The expected work hours are an average of 40 hours each week including evenings and weekends when meetings are scheduled.

GENERAL POSITION DEFINITION:The Community Manager maintains a portfolio of homeowner and/or condominium associations as outlined by the Director. The Community Manager values industry education, standards, and ethics as outlined through Community Associations Institute. The Community Manager is the professional liaison for the Board of Directors, Committees, Owners, and Vendors for all aspects of association operations.

DUTIES AND RESPONSIBILITIES:

· Facilitate resolving homeowner and resident complaints and concerns, seeking the assistance of the Director as needed.

· Coordinate Board orientation meeting and Committee Chair orientation

· Assists and supports the Association's Board and Committee activities as directed

· Organize, set up, and maintain association paper and digital files.

· The Community Manager assumes the primary role in resolving homeowner and resident concerns.

· Manage Association communications.

· Manage information systems.

  • Supervises closely the collection of delinquent accounts, prepares reports for the Board.
  • Maintain required work orders, complaints, telephone, and other logs and implement follow-up procedures per the corporate vision and guidelines
  • Monitor budget expenditures throughout the year to assure that they do not exceed the approved levels, and to obtain approval from the Board of Directors prior to exceeding approved levels for budget expenditures.
  • Respond to correspondence, phone, and e-mail inquiries from homeowners. Implement follow-up procedures per the corporate vision and guidelines
  • Coordinates Association mailings (annual, elections, etc.) and other responsibilities as outlined in the executed management agreement.
  • Assist in orientation / onboard of assigned new associations
  • . Ensures compliance with established Association policies and procedures.

· Assist in preparing budget proposals for staffing, equipment, supplies, contractual services and capital replacements and enhancements. This preparation to be made in consultation with the Director

· Takes a lead role in the presentation of the proposed fiscal year budget

· Often, the Manager acts as minutes secretary to the Board of Directors at monthly and organizational meetings, prepares and distributes meeting minutes, organizes all materials for the monthly board meeting packet ensures that the board packets are copied and distributed according to schedule, provides management support to the Architectural Review Committee in meetings and hearings, prepares and distributes ARC meeting agendas and minutes, prepares and disseminates reports, plans and materials for architectural violations, implements decisions made by the Committee and prepares all necessary correspondence resulting from the ARC meetings.

  • Assist homeowners and/or contractors with understanding of Design Guidelines for ARC submissions as well as supply them with copies of documents.

· Conduct formal monthly site visits, as well as other inspections as needed to advise in risk management to the properties.

· Assist committees, through designated persons, to ensure the Committee system is a productive part of the Association's operational and governance structure.

· Write, develop, and evaluate interactive content and features for online portal for each association.

· Maintain Association policies and operating procedures.

· Write, edit, and review communications, both print and online.

· Update existing documents and create documentation including but not limited to: flyers, community mailings, annual budget, Board Policy Manual, Personnel Manual and employee newsletter.

· Coordinate community elections as necessary for annual member meetings, etc.

· Implement fines per association documents

· Responsible for preparation and compliance with resale packets for all associations in portfolio

· Responsible for preparation and compliance with condominium questionnaires for all association in portfolio including invoicing the current owner through corporate process

· Stamp and code all payables for the associations weekly

· Assists with audit and financial review questionnaires from CPA

· Assists with financial reports for CPA

· As needed, assist each Board of Directors with bid processes for capital projects, landscape agreements, insurance proposals, roof installations, sealing or paving work, masonry work, major grounds projects, additional committee walk arounds, etc.
