Job DescriptionWe are looking for a detail-oriented Administrative Assistant to support daily office operations for a healthcare-focused team in Wausau, Wisconsin. This Long-term Contract position is fully in office and offers the opportunity to collaborate closely with a small on-site group while also coordinating with a large remote workforce. The ideal candidate will bring strong communication, organizational, and customer service abilities to help manage administrative tasks, support benefit-related activities, and maintain efficient workflow throughout the workday.
Responsibilities:
• Provide day-to-day administrative support for the office, ensuring tasks are completed accurately and on schedule.
• Respond to inbound calls and assist internal or external contacts with professionalism, clarity, and timely follow-up.
• Enter, update, and maintain records in internal systems with a high level of accuracy and attention to detail.
• Support benefit-related processes, including renewals, COBRA administration, and other enrollment-focused activities as needed.
• Coordinate effectively with in-office colleagues and remote team members to keep work moving smoothly across departments.
• Assist with clerical functions such as document handling, tracking information, and organizing operational materials.
• Help monitor inventories, maintain office resources, and support routine reporting or tracking activities.
• Contribute to hiring-related administrative tasks, including scheduling and phone interview coordination when required.• Previous experience in an administrative, clerical, or customer service role.
• Strong data entry skills with the ability to manage information accurately and efficiently.
• Comfortable handling high volumes of inbound calls while maintaining a detail-oriented approach.
• Familiarity with benefits administration, renewals, or COBRA processes is preferred.
• Excellent time management skills and the ability to prioritize multiple responsibilities in an office setting.
• Strong interpersonal and communication skills for working with both local and remote teams.
• Proficiency with standard office technology, including video communication tools and computer-based systems.
