Medical Records/Central Supply Coordinator
Job Summary:

As a key member of our healthcare team, you will be responsible for maintaining accurate resident medical records, managing medical supplies and inventory, and coordinating resident transportation. Key Responsibilities:
• Maintain, organize, update, audit, and close resident medical records
• Ensure records are complete, accurate, and compliant with regulatory requirements
• Process admissions, transfers, and discharges
• Maintain Medicare logs, MDS schedules, and related documentation
• File physician orders, lab results, and other clinical documentation
• Coordinate physician visit schedules and maintain credentialing records
• Assist with updates to medical records policies and procedures
• Maintain adequate inventory levels of medical supplies, forms, and equipment
• Receive, stock, organize, and distribute supplies throughout the facility
• Process department supply requests and maintain inventory records
• Monitor supply usage and order replenishments as needed
• Receive and verify shipments against purchase orders
• Schedule resident transportation for medical appointments, treatments, and other approved services
• Coordinate transportation arrangements with providers, families, and facility staff
• Accompany residents to appointments when necessary to ensure safety and continuity of care
• Communicate appointment information and outcomes to the appropriate staff
Teamwork & Communication:
• Work collaboratively with residents, families, physicians, and interdisciplinary team members
• Participate in Quality Assurance and facility improvement initiatives
• Attend required training and in-service programs
• Maintain confidentiality and comply with HIPAA and resident rights regulations
• Follow facility Code of Conduct and Corporate Compliance Program
Safety & Resident Care:
• Follow all facility safety and emergency preparedness procedures
• Recognize and report potential hazards, accidents, or incidents
• Support resident dignity, privacy, and rights at all times
• Promote a respectful, compassionate, and customer-service-focused environment
Qualifications:
• High school diploma or GED required; Associate Degree in Health Information Technology preferred
• Previous experience in medical records, health information management, healthcare administration, central supply, or long-term care preferred
• Knowledge of medical terminology, electronic health records, Medicare documentation, and office software preferred
• Strong organizational, communication, and time-management skills
• Ability to maintain confidentiality and work effectively with diverse populations
• Must be at least 18 years of age
• Must meet all health and background screening requirements
• Ability to perform essential job functions with or without reasonable accommodation
Physical Requirements:
• Frequent standing, walking, bending, reaching, and lifting
• Ability to lift and carry supplies up to 35 pounds regularly and more with assistance when required
• Ability to travel within and outside the facility to accompany residents to appointments
• Ability to safely operate facility equipment and transportation-related materials
Other Duties:
• Performs other duties as assigned by the Administrator, Director of Nursing, or designee
