Ruby's Place dba Restorative Pathways (RP) is an innovative nonprofit committed to ending domestic violence, human trafficking, and violent crime through hope, advocacy and connection. Our services include emergency shelter, transitional housing, rental subsidies, mental health services, substance recovery, and wrap-around services. All our services are trauma-sensitive and client-centered and are provided at no cost to our clients. All programs are low barrier.

What qualifications are required for this position?

- Minimum of two years of experience working in homelessness services, shelter programs, or related social service settings.
- Experience working with individuals experiencing homelessness or housing instability.
- Strong interpersonal, communication, and problem-solving skills.
- Ability to respond effectively to crisis situations and support de-escalation efforts.
- Demonstrated ability to work collaboratively within a team environment.
Preferred Qualifications
- Experience working in shelter programs, drop-in centers, or similar environments.
- Knowledge of trauma-informed care and harm reduction approaches.
- Familiarity with data systems used in homelessness services such as HMIS.
- In possession of a valid CA driver's license, proof of insurance, and be approved by RP insurance as a driver in order to drive agency vehicles. If a staff member cannot be approved by RP insurance as a driver, employment might not be able to continue. Instances where staff cannot be approved to drive will be reviewed on a case by case basis to determine if employment can continue in their role without driving agency vehicles. Items considered include but are not limited to: the shift the staff member holds and the frequency/necessity of driving during that shift, the amount of time before the staff member may be approved to drive by the insurance carrier, the availability of other staff on site to drive agency vehicles as program needs require, etc.
- Able to complete all required background checks. Additional requirements may be deemed necessary, including fingerprinting (Live Scan), completion of all Community Care Licensing (CCL) documents, and ability to meet CCL licensing requirements.
What You Will Do
The Site Coordinator supports the daily operations of the Drop In Center (Day Center, Night Shelter & Safe Park program) by ensuring services run smoothly, safely, and in alignment with program guidelines. This role plays a key part in coordinating day-to-day site activities, supporting staff, and maintaining an organized and welcoming environment for participants.
The Site Coordinator works closely with the Program Manager to ensure consistent program implementation, staff coordination, and quality service delivery. This position provides on-site leadership during shifts, helps address operational issues as they arise, and supports both staff and participants in navigating services and program expectations.
The ideal candidate has experience working with individuals experiencing homelessness and understands the dynamics of shelter environments, participant engagement, and crisis response.
Responsibilities include
Site Operations and Coordination
- Coordinate daily operations of the Drop In Center during assigned shifts.
- Ensure smooth participant flow including check-in, check-out, orientation, and general program participation.
- Maintain a safe, respectful, and welcoming environment for all participants and staff.
- Monitor program spaces and conduct routine site checks to ensure safety and adherence to program guidelines.
- Address operational needs that arise during shifts and communicate updates or concerns to the Program Manager.
Staff Support
- Provide on-site coordination and support to program staff including advocates and case management personnel.
- Assist with shift coverage coordination and ensure staff understand their roles and responsibilities during each shift.
- Support staff in responding to participant concerns, conflicts, or crisis situations.
- Provide weekly supervision with Program Advocates.
Participant Engagement
- Provide support and guidance to program participants and ensure they understand program expectations and available services.
- Assist in connecting participants to case management, housing navigation, and other supportive services available within the program.
- Promote a trauma-informed and respectful environment that encourages participant engagement.
Safety and Incident Response
- Respond to incidents, safety concerns, or conflicts that occur on site and ensure appropriate documentation is completed.
- Support de-escalation efforts and maintain a calm, professional presence during challenging situations.
- Ensure program safety protocols and procedures are followed by staff and participants.
Documentation and Reporting
- Maintain daily logs related to site operations, participant activity, and incidents.
- Ensure documentation is completed accurately and communicated to the Program Manager as needed.
- Support program reporting and data entry requirements as assigned.
Coordination and Communication
- Maintain clear communication with the Program Manager regarding operational updates, challenges, and program needs.
- Support coordination with service providers or partners who may be delivering services at the program site.
- Participate in team meetings and contribute to continuous improvement of program operations.
- Complete functional timesheets by assigned due dates in compliance with time allocations.
- Actively participate in reflective supervision sessions.
- Create and maintain documentation of processes and procedures related to job duties.
- Other duties as assigned.
Working Conditions
This position requires regular on-site presence and may include evening, overnight, weekend, or holiday shifts depending on program operations. You are expected to be availableon-site as necessary given business needs. You must be able to stand for long periods of time and perform physical activities, including lifting up to 25 pounds. You will be subject to frequent interruptions and must be able to multitask and handle stress. Local travel in the greater Bay Area may be required.
