Office Administrator

Our family-owned CPA firm is seeking a professional, organized, and customer-focused Client Services & Office Administrator to join our team. This is a key role responsible for providing exceptional client service while coordinating the administrative workflow of our accounting and tax practice.
The ideal candidate will have experience working in a CPA firm, public accounting firm, financial planning office, law firm, or other professional services environment where accuracy, confidentiality, and client service are essential.
Responsibilities
- Serve as the primary point of contact for clients by phone, email, and in person.
- Coordinate the tax return process from receipt of client information through final delivery.
- Schedule appointments and manage partner and staff calendars.
- Prepare engagement letters, client correspondence, tax returns, and financial reports for delivery.
- Request and track client documentation and maintain electronic files, portals, and e-signature requests.
- Assist with bookkeeping and QuickBooks administrative functions.
- Coordinate workflow with partners and accounting staff to ensure deadlines are met.
- Maintain an organized, efficient, and professional office environment.
Qualifications
- 3+ years of experience in a CPA firm, public accounting firm, financial planning office, law firm, or similar professional services environment.
- Excellent organizational, communication, and customer service skills.
- Strong attention to detail and ability to manage multiple priorities in a deadline-driven environment.
- Proficiency with Microsoft Office (Word, Outlook, Excel).
- Experience with QuickBooks, Thomson Reuters CS Professional Suite, UltraTax CS, or similar accounting software is a plus.
