Role Overview
We are seeking a highly disciplined Executive Assistant with paralegal-level experience to support the executive suite and drive real estate transactions nationwide. This role is operational, administrative, and coordination-focused, not the practice of law, but it requires deep familiarity with real estate transactions, legal work, work alongside corporate attorneys, contracts, due diligence, and closing workflows.
This position exists to push deals forward. The control center for the oversight of deals. Being versatile is necessary as you may be working on 10-12 multi-million dollar deals at the same time.
Core Responsibilities (Execution Is Mandatory)
Coordinate real estate transactions through the southeast and sometimes nationwide, from executed agreement through closing and post-closing
Actively push transactions from start to finish, ensuring momentum and resolution
Manage contracts, amendments, leases, and transaction documents with absolute precision and accountability.
Track and control all due diligence items, contingencies, deadlines, and deliverables
Coordinate with attorneys, title companies, lenders, surveyors, and closing agents across multiple jurisdictions
Coordinate deed filings and county recordings; verify accuracy and completion
Conduct deed, lien, and ownership research using public records
Maintain clean, auditable transaction files and disciplined document systems
Own executive calendars, deadlines, and follow-ups- nothing slips
Enforce accountability with third parties until tasks are completed and confirmed
Executive Assistant Responsibilities
Direct support for the executive suite
Calendar control, deadline management, and priority alignment
Preparation of transaction summaries, status updates, and reporting
High-level coordination across multiple entities and stakeholders
Absolute confidentiality and discretion
Required Experience:
8+ years of experience as a Paralegal.
Demonstrated experience with real estate transactions.
Strong understanding of contract workflows, due diligence, and transaction timelines
Experience working with attorneys.
Exceptional organizational and document-management skills
