The Front Desk Receptionist plays a vital role in managing the initial point of contact within corporate, medical, or hospitality office environments. This position involves overseeing visitor management, handling multi-line phone systems, coordinating appointment scheduling, and providing exceptional customer service. The receptionist operates under the direct supervision of the Office Manager and works collaboratively within a team to maintain efficient office operations and security protocols.
Responsibilities
- Manage visitor registration, access, and coordination in line with security policies
- Handle multi-line phone systems to manage incoming and outgoing calls efficiently
- Schedule, confirm, and coordinate appointments using appointment scheduling software
- Deliver professional customer service, addressing inquiries and resolving complaints
- Manage mail distribution and office supply inventory
- Perform accurate data entry and maintain up-to-date records
- Greet guests promptly and provide relevant information
- Contribute to conflict resolution efforts to maintain a positive visitor experience
Preferred Qualifications
- High school diploma or equivalent
- Proficiency in Microsoft Office Suite and proprietary office software
