The Administrative Department, overseen by the Director of Administration, is responsible for day-to-day office operations, Accounting, Human Resources and IT functions as well as providing administrative support to the CEO & COO. This position works under the direction of, and closely with, the Director of Administration providing support in all these areas.
The Front Desk Receptionist must be able to communicate effectively, both verbally and in writing, in a professional manner with other facility staff members, Mission residents, volunteers, donors, and customers. Organization, attention to detail, the ability to multi-task, and think on the fly are essential in this position.
Responsibilities and Requirements
- Welcome and check in Visitors.
- Answer, screen and forward phone calls the proper department.
- Manage voicemail mailbox: respond to general inquires and/or forward to proper department.
- Receive, sort and distribute daily mail and deliveries.
- Sorting of Donation mail for processing.
- Ensure reception area is tidy and presentable.
- Assist with preparation for special events and other operational activities as requested.
- Assist with reconciling, data-entry, maintaining In-Kind donations sheets and receipts, and other clerical duties as needed.
- Assist Development Department with stuffing and mailing Acknowledgement letters and other clerical duties, as needed.
- Assist with maintaining office supply and orders.
- Maintain office equipment, to include keeping areas clean, scheduling service calls and supplies for copiers and other equipment.
- Maintain strict confidentiality on all matters within office in accordance with LVRM policies.
- Self-starter, critical thinker and problem solver. Ability to keep busy during down times.
- Take direction, communicate and collaborate effectively with others.
- Other duties as assigned by supervisor.
Qualifications
- Minimum 1 year of Front desk and customer service experience.
- High School Education or equivalent.
- Excellent written and verbal communication skills.
- Friendly and professional demeanor.
- Ability to juggle multiple projects with accuracy.
- Strong organizational skills.
- Intermediate knowledge of MS Word, MS Excel and MS Outlook, Adobe Acrobat and Google workspace.
- Excellent customer service skills.
- Reliable, consistent and self-regulating.
- Previous experience in a non-profit environment an asset.
