Seeking a dynamic, efficient, self motivated and creative individual to be part of our Vibrant team. This Office Administrator position will support daily operations reflecting VCS standards and contributing to VCS mission and vision.
Overview:
As the Office Administrator for VCS you will be working in a fast-paced TEAM environment. This position is an essential role at Vibrant and requires managing daily operations. As part of the job responsibilities you will manage coordination between psychiatrist and clinical staff, administrative tasks, and assisting our Director of Programs.
Office tasks:
Responsible for managing all aspects of the new Intake areas. Ensures efficient and orderly admission of individuals who will be admitted to our outpatient programs.
- Records pertinent information into our electronic medical records (EMR)
- Contacts patients or referral sources for information needed to accurately complete intake and referral information needed
- Schedules appointments and enters appointment date and time into electronic medical records (EMR) .
- Enters confidential personal health information and financial information into a electronic medical records (EMR).
- Complies with all federal and local laws in ensuring patient privacy. (HIPPAA, Medicaid UM Guidelines)
- Relays information between patients and other staff members as needed
- Answers telephone and either responds to inquiry or directs caller to appropriate personnel
- Completes all scanning, faxing, mailing, task as requested and needed.
Scheduling & Insurance
- Schedules patients and enters orders.
- Completes appointment reminders and update patient information in EMR.
- Maintains an up-to-date and accurate database on all current and potential referring physicians.
- Verify insurance eligibility, obtains prior approval of benefits for treatment and medications
- Accurately maintains patient records including but not limited to insurance changes (eg. demographics, pharmacy).
- Process release of information (ROI) requests for patients, referring offices, other medical facilities, attorneys & insurance companies following company guidelines.
Qualifications
- English speaker with excellent grammar skills
- Spanish bilingual speaking individuals are highly encouraged to apply as this office provides services to growing Hispanic population
- Previous management experience in an office setting
- Very organized, coachable, punctual and reliable
- Superior computer knowledge and Microsoft office skills.
- Ethical and good communicator
- A detail-oriented person capable of multi-tasking

- Cheerful and pleasant personality
Additional Knowledge, Skills, and Abilities:
- Proficient with Microsoft Office products including Outlook, Word, Excel, PowerPoint and TEAMS
- Must possess excellent reading and writing skills
- Capable of managing various projects and tasks
- Self-motivated, professional, problem solver and maintain a positive presentation at all times
- Great organization skills
Job Details
- Full-time hourly position
- Available to work 30- 40 hours per week anytime within the operating hours of the site
- Monday to Friday: Hours between 9 am to 5 pm (normally)
