Role Purpose

Own the end-to-end commissions operation at The Broker Group (TBG). Ensure commissions are accurate, timely, compliant, and auditable. This role serves as the primary liaison between carriers, the processing team, and agents. The position starts part-time (approximately 3–4 hours per day) with the potential to grow into a full-time role as volume scales.

Core Responsibilities

1) Carrier and Statement Management

- Download, review, and reconcile carrier commission statements (e.g., F&G, Corebridge, Ethos, etc.).

- Compare actual payouts against expected comp schedules.

- Identify and resolve discrepancies including missing policies, underpayments, misallocations, chargebacks, reversals, and advance caps.

- Maintain tracking for pending, paid, reversed, and adjusted commissions.

2) Processing Team Coordination (India)

- Communicate daily with the processing team.

- Assign and review data entry, policy tracking, commission posting, and corrections.

- Perform quality assurance before payroll runs.

- Create and maintain SOPs and checklists for repeatable tasks.

3) Agent Support (Commissions Inbox)

- Respond to agent inquiries regarding commission status and statements.

- Provide basic explanations of the comp plan and payout timing.

- Maintain a tracking system for open issues and resolutions.

- Escalate complex issues to leadership as needed.

4) Payroll and Payout Processing

- Prepare weekly or bi-weekly commission payout reports.

- Coordinate with payroll and accounting.

- Ensure accurate net pay after chargebacks and adjustments.

- Maintain documentation for all changes and corrections.

5) Product Guide and Compensation Updates

- Maintain the TBG Product Guide and carrier payout changes.

- Update commission caps, advance changes, and comp sheets.

- Coordinate rollouts of changes to agents.

6) Reporting and Controls

- Produce a weekly summary of total paid, issues pending, reversals/chargebacks, and carrier issues.

- Build scalable controls and audit-friendly processes.

7) Licensing and Hot State Compliance Audits

- Maintain and review a list of high-risk or "hot" states.

- Perform pre- and post-payout audits to ensure only properly licensed and appointed agents are paid.

- Cross-check agent licenses, appointments, writing agent, paid agent, and state of issue.

- Block and flag commissions tied to missing, lapsed, or improper licenses or appointments.

- Coordinate corrections with the processing team and escalate compliance issues to leadership.

- Maintain an audit trail, exception log, and documentation for carrier or regulatory reviews.
