Facilities Maintenance Manager

Reports To: Director of Services

Job Type: Full-Time, Exempt

Compensation: $65,000-$75,000

Typical Schedule: Monday–Friday, 8:00 AM–5:00 PM, with flexibility for after-hours needs

Location: Based in the Twin Cities Metro Area, with travel to program sites required


Position Overview:

The Facilities Maintenance Manager is responsible for ensuring compliance with Minnesota Statutes § 245D.24 and overseeing the physical plant and environment of licensed community residential settings. The Facilities Maintenance Manager is responsible for ensuring compliance with applicable state regulations, overseeing the physical plant environment of all BrightPath facilities, including the corporate office and residential sites. This role includes ensuring the maintenance and safety of the facilities, managing tenant and room turnover, overseeing office setup and maintenance requests, and ensuring a safe and functional environment for all employees and residents. Additionally, this role requires the use of a personal maintenance vehicle for all work-related tasks, as BrightPath does not provide vehicles or tools for this role.

This position requires the use of the employee's personal vehicle for all work-related tasks, including transportation to and from the properties and for carrying necessary tools and materials. BrightPath does not provide a company vehicle or tools for this role. A mileage reimbursement will be provided for travel as per company policy.


Key Responsibilities:

245D Regulatory Compliance & Safety:

  • Ensure all residential and office facilities meet the requirements set forth by Minnesota Statutes § 245D.24, including maintaining a safe and accessible living and working environment for individuals served.
  • Monitor and manage compliance with fire safety regulations, accessibility standards, and other 245D-specific regulations across all locations.
  • Conduct regular inspections to ensure that all facilities are compliant with state and local laws, including Minnesota Statutes § 245D.24 regarding the physical plant and environment of licensed settings.
  • Coordinate with licensing bodies to ensure compliance with all applicable regulations for both residential and corporate settings under 245D and related statutes.

Physical Plant Compliance:

  • Ensure all residences meet the requirements set forth by Minnesota Statutes § 245D.24, including maintaining a safe, accessible, and appropriate environment for individuals served.
  • Ensure all properties are compliant with local, state, and federal regulations, including fire safety, electrical systems, heating systems, and accessibility standards.

Fire Marshal Compliance:

  • Conduct or oversee fire safety inspections, ensuring all facilities comply with the Minnesota Uniform Fire Code and local fire marshal regulations.
  • Maintain compliance with fire safety equipment requirements, including the installation and regular servicing of smoke detectors, fire extinguishers, and other safety devices as mandated by the State Fire Marshal.
  • Implement and manage emergency escape plans, ensuring all exits are accessible and functional and that fire drills are conducted quarterly.
  • Ensure fire safety training for staff and maintain documentation of all fire marshal inspections, incident reports, and drills.

Vendor Management:

  • Oversee relationships with contractors, including lawn care, snow removal, and other general maintenance vendors, ensuring timely and quality service delivery.
  • Manage contracts, including regular evaluations of vendor performance to maintain service excellence and cost efficiency.

Tenant and Room Turnover Management:

  • Manage the process of tenant turnover, ensuring rooms are prepared and ready for new occupants in a timely manner.
  • Oversee room turnover, ensuring that all necessary maintenance, cleaning, and repairs are completed between tenancies and that rooms meet licensing and regulatory standards.
  • Develop and maintain a detailed checklist for room turnover, including cleaning, sanitization, and facility maintenance requirements.
  • Work closely with the admissions team to ensure the facility is prepared for new tenant arrivals, minimizing vacancy periods.

Budgeting & Financial Oversight:

  • Develop and manage annual and capital expenditure budgets for facility maintenance and fire safety, ensuring cost-effective use of resources.
  • Monitor and report on facility-related expenses, including maintenance costs, vendor payments, and fire safety equipment servicing.

Maintenance Planning:

  • Develop and implement annual, quarterly, monthly, and seasonal maintenance calendars to proactively address facility needs.
  • Ensure timely completion of maintenance tasks, including repairs, routine inspections, and special projects.

Work Order System Management:

  • Administer a work ticketing system to track, manage, and resolve maintenance requests efficiently, ensuring that issues are prioritized and resolved promptly.


Qualifications:

  • Proven experience in facilities maintenance, preferably in healthcare or residential settings.
  • Knowledge of 245D licensing requirements and fire marshal regulations.
  • Experience in tenant and room turnover, ensuring regulatory compliance.
  • Strong organizational, budgeting, and vendor management skills.
  • Ability to develop and implement detailed maintenance schedules and emergency preparedness plans.
  • Excellent communication skills and ability to manage vendor relationships effectively.
  • Familiarity with work ticketing systems and facility management software.
  • Must have a reliable personal vehicle to be used for work purposes and a valid driver’s license.
  • Ability to transport tools and equipment in a personal vehicle.
