Job Description
The Service Writer will maintain accurate and on-time reports and records relative to the Service functions of the dealership. Bill the repair orders to customers, internal and warranty.
Responsibilities include, but are not limited to:
· Review each repair order for completeness and accuracy.
· Make sure the detailed story on the repair invoice is complete and every major item in the parts list is mentioned.
· Process warranty claims with the correct manufacturer within 72 hours of completion of warranty repair making sure to recover as much labor as possible and follow-up to be certain claims are paid in full.
· Assist in the inquiries regarding the status of equipment and be as helpful as possible.
· Call customers to provide repair updates and notify them of repair completion. Note date and time of call on repair order.
· Assist the Service Manager in maintaining the service library with up-to-date bulletins and manuals.
· Figure service technicians’ time tickets and post labor daily.
· Organize operator manuals for all wholegoods in inventory.
· Assign and organize unit numbers for all wholegoods.
· Verify unit inventory is accurate and that all units in stock have an operator manual on file.
· Maintain inventory list of all specialty tools.
· Organize failed warranty parts and dispose of them at proper time.
· Complete service department filing i.e., repair orders and records.
· Make sure telephone is answered by the second ring and in a friendly and personable manner.
· Keep track of the Service Manager, as much as possible, so that telephone calls can be handled promptly.
· Maintain service records for all company vehicles.
· Retrieve mail from mailbox daily and distribute to appropriate personnel
· Assist the parts department or accounting in busy times
· Maintain a safe working environment and adhere to company safety program at all times.
