Job DescriptionPosition Overview: A receptionist, also known as a front desk receptionist, is responsible for performing various administrative and clerical tasks to support the daily operations of an office. They serve as the first point of contact for visitors and clients, ensuring a welcoming and professional environment.Key Responsibilities:
- Greeting Visitors: Welcome and direct visitors to the appropriate person or department.
- Answering Phones: Handle incoming calls, transfer them to the correct person, and take messages when necessary.
- Mail Management: Sort and distribute incoming mail and prepare outgoing mail.
- Scheduling: Manage appointments and meetings for staff members.
- Administrative Support: Assist with various administrative tasks such as filing, data entry, and maintaining office supplies.
- Customer Service: Respond to email, walk-in and phone inquiries from clients and visitors in a polite and timely manner.
- Office Maintenance: Ensure the reception area is tidy and presentable.
Qualifications:
- Education: High school diploma or equivalent.
- Experience: Previous experience in a similar role is preferred.
- Skills: Excellent communication and interpersonal skills, proficiency in basic office software (e.g., Microsoft Office), and the ability to multitask and prioritize tasks effectively.
- Attributes: Professional demeanor, punctuality, and reliability.
Work Environment: Attorney office settings, tradition work hours Monday – Friday, 8 a.m. – 5 p.m.
