Office Administrator & Scheduling Coordinator
Job Description
We're a locally owned home care agency in downtown Santa Cruz, and we're looking for one organized person to hold down our office three days a week.

This is the role where the whole operation touches ground. You'll answer the phone when a family calls with a question, keep the caregiver schedule straight, and figure out coverage when someone calls out at 6am. Some days that means solving it from the desk. Some days it means putting on a Curesa shirt and covering the shift yourself.

You'll be the person here on your days, which means we need someone we can hand the keys to. If you like a job where you actually see the result of your work by the end of the day, this is that job.
What you'll do\n
- \n
- Own the caregiver schedule — build it, adjust it, and fill gaps when call-outs happen
- Be the first voice clients, families, and caregivers hear when they call the office
- Handle onboarding paperwork, HCA registrations, background checks, and training records
- Keep client files, care notes, and timesheets accurate and current
- Support hiring: post roles, screen applicants, schedule interviews
- Step into caregiver shifts when coverage can't be arranged any other way

24 hours a week - 3 days a week.

A few honest notes so there are no surprises:

- On your days you're running the office. You'll have phone and text support, but you're the one here.
- Additional hours are available if you want them, office or field. Overtime is paid at full California rates.
- Covering a caregiver call-out may occasionally pull you out of the office in emergencies.

What we're looking for\n
- \n
- Strong organizational instincts and real comfort with a schedule that changes on you
- Warm, clear phone presence — you'll be talking to worried families
- Confident with email, spreadsheets, and picking up new software
- Discretion. You'll know private things about people's lives
- Reliable transportation and a clean driving record
- Willing to become a registered California Home Care Aide (Live Scan, TB clearance, and 5 hours of entry-level training — we'll walk you through it and cover the cost).

- $26–$28/hour, depending on experience — one rate for office and field hours, so covering a shift never costs you
- Overtime paid at full California rates
- Paid sick leave
- Mileage reimbursement at the IRS standard rate for any driving on the job
- Paid HCA registration, Live Scan, TB clearance, and training
- A small team where your work is visible and your judgment is trusted
