Position Summary
The Front Desk Coordinator plays a vital role in creating a welcoming, professional, and organized experience for every patient. As the first point of contact in the office, this role provides exceptional customer service, manages scheduling and financial coordination, and ensures smooth daily administrative operations in a fast-paced dental setting.
Key Responsibilities
- Serve as a patient concierge by building trust and delivering outstanding customer service
- Call and welcome new patients, answer questions, and set expectations for their first visit
- Greet and check in patients, assist with paperwork, and support a seamless visit experience
- Present treatment plans and review out-of-pocket costs, including financing options such as CareCredit
- Process payments, manage financial transactions, submit insurance claims, and balance daily deposits
- Schedule, confirm, and manage patient appointments, referrals, and documentation
- Answer multi-line phones and communicate effectively with patients, labs, and vendors
- Maintain accurate patient records and notify management of any concerns
- Keep the front desk organized, track supplies, and support general office operations
- Participate in team meetings and ongoing training
Qualifications
- Prior dental office front desk experience required
- High school diploma or GED required
- Strong written and verbal communication skills
- Professional, compassionate, and patient-focused demeanor
- Organized, detail-oriented, and able to multitask in a fast-paced environment
- Comfortable using computers, practice management software, and multi-line phone systems
- Positive, enthusiastic attitude with a commitment to excellent service

While performing the duties of this job, the employee is regularly required to stand, walk and use hands and arms to operate general office equipment (PC, telephone, file cabinets, copier, fax machine and printer). The employee may occasionally lift and/or move between 10 and 25 pounds. Specific vision abilities required by this job include close vision and ability to adjust focus. The employee may need to travel to healthcare practices.
