Assistant Project Manager

Role Summary

The Assistant Project Manager (APM) supports the Project Manager in planning, coordinating, and executing construction projects. This role assists with estimating, scheduling, cost management, procurement, reporting, and stakeholder coordination to help ensure projects are completed safely, on schedule, within budget, and in compliance with contractual requirements.


Key Responsibilities

Estimating & Preconstruction Support

  • Complete material take-offs and assist in preparing cost estimates.
  • Review project proposals, drawings, and specifications to understand scope, schedule, and resource requirements.
  • Support the development and maintenance of subcontractor and supplier relationships.

Project Planning & Scheduling

  • Assist in developing and maintaining daily, weekly, and monthly project schedules aligned with the master contract schedule.
  • Coordinate with project staff to help define work plans, responsibilities, and sequencing.
  • Track project progress and support schedule updates.
  • Assist in coordinating project resources, including equipment, materials, and self-performed labor.

Project Coordination

  • Support coordination of subcontractors, site supervisors, and other stakeholders.
  • Participate in project meetings and prepare/distribute meeting notes and reports.
  • Assist in resolving project issues and elevate concerns to the Project Manager as appropriate.
  • Collaborate with regulatory agencies and support compliance documentation.
  • Review drawings, shop drawings, samples, and submittals prior to submission.

Financial & Cost Management

  • Assist the Project Manager and team in managing budgets, cost reports, cash flow, and forecasts.
  • Support review of purchase orders, rental equipment costs, expenses, and change orders.
  • Assist in preparation and submission of monthly pay applications and support timely collections.
  • Review subcontractor and supplier payment applications and assist with lien waiver collection.
  • Support budget tracking and cost control efforts.

Contract & Procurement Management

  • Support project buy-out and subcontractor procurement; review bids for scope, exclusions, and compliance.
  • Assist in preparing letters of intent and managing subcontractor and supplier contracts, changes, and clarifications.
  • Support drafting and editing of owner and subcontract agreements as directed.
  • Manage submittals, RFIs, ASIs, proposals, and change documentation; maintain accurate project logs.
  • Monitor material procurement, fabrication status, and delivery schedules.

Reporting & Close-Out

  • Prepare project reports for management and clients.
  • Maintain accurate project documentation and track field progress reports.
  • Support organized and timely project close-out, including O&M manuals, warranties, and final documentation.
  • Track tools, equipment, and fleet movements as needed to support billing and operations.
