SERVICE DEPARTMENT DISPATCHER

Position Summary
The Service Department Dispatcher is responsible for efficiently coordinating the daily flow of customer vehicles and repair orders through the dealership's service department. This position serves as the critical link between Service Advisors, Technicians, Parts, and Management, ensuring that work is assigned appropriately, repairs progress efficiently, and vehicles are completed and delivered on schedule.


The ideal candidate has strong automotive dealership experience, understands technician capabilities and workflow, can prioritize repairs effectively, and can maintain control of a busy service department while providing clear communication to all departments.


Essential Responsibilities

  • Dispatch repair orders to technicians based on skill level, certifications, training, workload, and availability.
  • Monitor technician workflow, productivity, hours, and available capacity throughout the day.
  • Maintain an efficient and balanced workflow to maximize technician productivity and department capacity.
  • Review repair orders for completeness and ensure technicians have the necessary information before beginning work.
  • Coordinate with Service Advisors regarding repair status, additional work, delays, technician findings, and estimated completion times.
  • Communicate with the Parts Department to confirm parts availability and identify potential parts delays before they impact production.
  • Prioritize work according to customer commitments, appointment times, promised delivery times, warranty requirements, and dealership priorities.
  • Monitor vehicles waiting for diagnosis, parts, authorization, additional work, or technician completion.
  • Identify bottlenecks and take immediate action to keep vehicles moving through the department.
  • Track and follow up on carryover, comeback, waiting, and priority repair orders, and notify Service Management when comebacks or repeat repairs are identified.
  • Coordinate technician assignments for diagnostic, warranty, maintenance, recall, and complex repair work.
  • Monitor open repair orders and communicate potential delays to Service Management.
  • Assist Service Advisors and Management in determining realistic completion times.
  • Maintain accurate dispatch records and status updates in the dealership's DMS/service management system.
  • Help ensure repair orders are properly routed and closed in a timely manner.
  • Identify opportunities to improve technician utilization and reduce downtime.
  • Assist with managing sublet work and outside vendors when necessary.
  • Help coordinate road tests, quality-control inspections, and vehicle movement within the service department.
  • Assist in maintaining an organized service drive, technician work area, and vehicle flow.
  • Support dealership safety procedures and ensure proper handling and movement of customer vehicles.
  • Maintain a professional working relationship with Service Advisors, Technicians, Parts personnel, Managers, and other dealership employees.
  • Perform other duties as assigned by Service Management.


Experienced-Level Qualifications

  • 3+ years of automotive dealership service department experience preferred.
  • Previous experience as a Service Dispatcher, Service Advisor, Shop Foreman, Assistant Service Manager, or experienced Technician strongly preferred.
  • Strong understanding of dealership service operations and technician workflow.
  • Knowledge of automotive repair procedures, diagnostic processes, warranty work, maintenance, and parts operations.
  • Familiarity with dealership DMS/service scheduling and dispatch systems.
  • Ability to understand technician skill levels and appropriately assign work.
  • Strong organizational and time-management skills.
  • Ability to prioritize multiple repair orders in a fast-paced environment.
  • Excellent communication and interpersonal skills.
  • Ability to remain calm and professional under pressure.
  • Strong problem-solving and decision-making abilities.
  • High attention to detail and accuracy.
  • Ability to work effectively with technicians, advisors, parts personnel, and management.
  • Must be comfortable working in a performance-driven environment.

The successful Dispatcher will be expected to:

  • Help the department meet or exceed promised delivery times.
  • Reduce aging and stalled repair orders.
  • Ensure work is dispatched according to technician capability and certification.
  • Communicate delays and changes promptly.
  • Help reduce comebacks and improve overall repair quality.
  • Maintain accurate repair-order and dispatch information.
  • Contribute to a positive, professional, and team-oriented service department.

Physical Requirements

  • Ability to sit, stand, walk, and move throughout the service department for extended periods.
  • Ability to work in a busy dealership environment with varying noise levels and temperatures.
  • Ability to safely navigate the service drive, shop, and vehicle staging areas.
  • Must be able to follow all dealership safety procedures.


Schedule
This is a full-time dealership position. The Dispatcher must be willing to work the dealership's established service department schedule, including Saturdays as required.


Compensation & Benefits
The dealership offers a competitive compensation and benefits package based on experience and qualifications, which may include:
