Position Purpose

The primary role of the Data Coordinator is to lead the day-to-day maintenance of BGCSF’s Salesforce database (MyClubHub), including supporting staff needs, as well as to support with the coordination and completion of BGCSF’s external reporting processes. This role will be integral to the continued success of MyClubHub, ensuring that it is well-maintained and is providing a positive user experience for staff and parents. Additionally, this position will play a critical role in maintaining strong external reporting processes for key grant requirements. This position will report to the Data & Impact Manager, and is part of BGCSF’s Outcomes Measurement (OM) team.

This position is full time at the John N. Callander Administrative Office, with four days in office and one optional remote day.


Key Responsibilities

Database Administration & Staff Training/Support - 40%

  • Lead the day-to-day coordination and maintenance of MyClubHub, including the creation and deactivation of staff user accounts, setting permissions, merging duplicate accounts and contacts, and troubleshooting issues.
  • Respond promptly to support requests from front and back-end users, including program staff, administrative staff, and BGCSF family members.
  • Support the Clubs’ Administrative Assistants through regular training and meetings, on the ground coaching, and other support as needed.
  • Support the Data & Impact Manager with managing a monthly backup system for the database and the upload of other data sources into the Salesforce system through Salesforce Inspector to maintain a comprehensive database experience.
  • Support the OM team with addressing Clubs and Program needs, including staff training, report and dashboard development, and training materials and protocols creation.

Data Entry & Management - 25%

  • Ensure that all data is being collected with fidelity and accuracy, and is following the data management procedures developed by the OM Team.
  • Help troubleshoot routine data quality and completeness issues at Clubhouses and School-based sites, including missing and unclean data and incorrect tracking.
  • Help develop and maintain data entry, cleaning, and quality control methods and processes at the Clubhouses and School-based Clubs.
  • Provide support to Clubs when their Administrative Assistants are not available, including assistance with data entry.
  • Support the Program Services team in managing the data entry and reporting processes for program attendance across all Clubs.

Data Visualization & Reporting - 20%

  • Lead the process of uploading data to external databases (such as EMS – SFUSD’s attendance database) as a part of grant reporting requirements. This includes generating reports from MyClubHub, cleaning and processing the data, uploading reports to external databases, and manually entering missing data into the external systems.
  • Update and disseminate the MyClubHub Daily Dashboard on a daily basis, ensuring strong data quality and consistent communication of real-time member data.
  • Maintain the Outcomes Measurement (OM) Portal, ensuring that links and reports are kept up-to-date. This includes routinely updating links to the Daily Dashboard, monthly Scorecard, and other reports and materials as needed.

Learning & Collaboration - 10%

  • In partnership with OM team members, participate in presentations and discussions in various meeting spaces to support staff understanding of data and how to use the data in practice.
  • Work with the team to think of new and creative ways to make data engaging and relevant for program staff.
  • Collaborate with the Development, Finance, and Marketing teams to share learnings and best practices about the system and ensure alignment in database processes, such as scheduled maintenance, new builds/integrations, and other relevant topics as needed.

Other Support - 5%

  • Participate in cross-departmental working groups and other projects to support the success of the OM team, as well as the organization as a whole.
  • Support with other duties and assignments as needed.

Requirements:

Required Skills

  • A four-year degree from an accredited college or university or two years of experience may substitute for two years of education
  • Excellent attention to detail
  • Data entry or data management experience
  • Strong presentation and training skills
  • Demonstrated skills in staying organized and on task
  • Strong oral and written communication skills
  • Proficient in MS Office and Google Suite; strong skills in spreadsheets
  • Ability to work in a fast-paced environment and follow procedures and instructions
  • Ability to multi-task and stay on track to complete concurrent projects

Preferred Skills

  • One year of experience with Salesforce CRM and/or member management databases
  • Experience working with youth and/or in a nonprofit setting
  • Experience training or teaching

Physical Requirements

  • Must be able to lift 15 lbs.
  • Must be able to stand for at least 1 hour consecutively.
  • Must be able to sit at a computer workstation for long periods of time.

Pay

The wage range for this role takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and BGCSF needs. At BGCSF, our decisions are based on other factors and dependant on circumstances for each position. Depending on the need and requirement of the position, an individual could be hired at or near the entry level, mid - level or top of the range for their role and compensation. As such, a reasonable estimate of the current range is $24 -$26.44 hourly.
