Portfolio Community Manager

Responsibilities:

  • Supervise the operation and administration of assigned community associations in accordance with governing documents, applicable statutes, and established policies and procedures.

  • Act as the primary liaison with Boards of Directors and homeowners, maintaining professional and responsive communication.

  • Attend Board meetings as required and participate in community events as needed.

  • Ensure Board of Directors are informed of any legal actions involving the Association.

  • Monitor delinquency reports and manage the collections process within the assigned portfolio.

  • Maintain complete and accurate records for units and contract files related to association operations.

  • Prepare Board meeting packets and related documents within established timeframes.

Essential Job Duties:

  • Meet or liaise with assigned associations 1–2 times per week.

  • Record and prepare accurate Board meeting minutes.

  • Manage and support special projects as assigned.

  • Oversee day-to-day operations for a portfolio of community associations.

  • Deliver professional and courteous customer service to clients and residents.

  • Communicate effectively with Boards, homeowners, vendors, and contractors.

  • Demonstrate leadership in guiding clients on community management best practices.

  • Coordinate and facilitate monthly, bimonthly, quarterly, and annual Board meetings.

  • Stay current on industry trends and regulatory changes.

  • Assist in the creation of association budgets and monitor financial performance.

  • Advise and assist Boards in hiring vendors and selecting insurance providers.

  • Oversee vendor services and approve payments for community-related services.

  • Ensure compliance with internal policies and procedures.

  • Maintain high levels of client satisfaction and support account retention efforts.

  • Prioritize tasks effectively, demonstrating strong time management skills.

  • Perform additional duties as required by supervisor.
