Title: Administrative Contract Support Specialist
Company: A large PNW utility company (disclosed on screening call)
Location: Greater Seattle Area (Hybrid/Remote - 1 day onsite)
Shift: M-F, 8am-5pm (Flexible start time)
Duration: 2 years
Pay Rate: $25-30/hr
Must Haves:
- 5+ years of experience in administrative
- 2+ years of previous experience in contract support
- Experience utilizing Viso Suite
- Highly organized, dependable, and comfortable managing multiple deadlines and follow-up items
- Strong attention to detail, particularly with contracts, dates, funding, and documentation.
- Proactive and able to anticipate upcoming needs rather than only reacting to requests
- Comfortable coordinating across Procurement, project teams, vendors, and leadership
- Strong Microsoft Office skills
Responsibilities:
- Assist with preparing and processing Statements of Work (SOWs), change orders, amendments, extensions, and other contract-related documentation.
- Coordinate with PSE Procurement and internal project stakeholders to move contractual documents through the appropriate process.
- Maintain visibility of active contracts, key dates, expiration dates, funding levels, pending actions, approvals, and next steps.
- Proactively flag approaching contract expirations so extensions, renewals, or replacement agreements can be initiated with adequate lead time.
- Track contract funding and help identify when additional funding, purchase order changes, or other contract actions may be required.
- Maintain clear trackers and status information and follow up on outstanding actions.
- Gather needed information and documentation from project managers, vendors, Procurement, and other stakeholders.
- Provide general administrative support for the renewable energy group as capacity allows.
- Learn and work within PSE's internal contracting and procurement processes; role-specific training will be provided.

A well-known utilities company is looking to bring on an experienced administrative assistant to support contracts within the major projects group.
