Ocean Estate Law is currently hiring a full-time, in-person Legal Receptionist to support our expanding offices in San Clemente and Laguna Hills. This is an immediate opportunity to be part of a collaborative, client-centered team.

Compensation & Benefits:

  • Salary: $48,000 to $55,000 per year, depending on experience

Responsibilities:

Legal Receptionist – Be the Face and Voice of Our Firm

As a vital member of our legal production team, the Legal Receptionist plays a key role in creating positive first impressions and ensuring smooth day-to-day operations. In this position, you will:

  • Warmly greet all prospective and current clients, making them feel welcome
  • Answer incoming calls with professionalism and a friendly tone
  • Coordinate with clients via phone and walk-ins to ensure seamless communication
  • Schedule consultations, client appointments, and meetings with referral partners
  • Calendar all scheduled consultations, appointments, and partner meetings accurately
  • Scan and upload documents into the appropriate client electronic files
  • Manage both incoming and outgoing mail efficiently
  • Maintain an up-to-date list of active referral sources
  • Respond to client inquiries via phone and email, ensuring timely communication
  • Track leads and follow up with clients after consultations
  • Build rapport and interact with a wide range of personalities—even under stress

Most importantly, this role gives you the opportunity to serve as our ambassador of first impressions—creating meaningful, memorable experiences for every person who contacts our firm.

Qualifications:

Our ideal candidate will have:

  • 3+ years of experience in office administration
  • Bachelor’s degree
  • 1-2 years of reception and secretarial experience, preferably in a law office
  • Excellent computer skills, including proficiency with Microsoft Word, Excel, PowerPoint, and the ability to learn and adapt to practice management systems
  • Neat and professional appearance, appropriate for a law firm environment
  • Notary Public is preferred


In addition, qualified candidates will demonstrate the following skills and abilities:

  • Dependable, self-starter who can work under minimal supervision
  • Display a combination of being calm under pressure, empathy, respect, and maturity
  • Positive energy and adaptable to change
  • Organized and have exceptional attention to detail
  • Excellent communication skills, both verbal and written
  • Able to multitask, set priorities, and meet deadlines in a fast-paced office environment
  • A hard-working, dedicated individual who will strive to contribute to the success of the firm

  • Genuinely care about clients and want to deliver a top-notch experience
  • Value doing it right the first time, proofread your work, and double-check details
  • Eager to learn new tasks and computer systems
  • You must be on time and available to work in the office Monday-Friday from 8:30 am - 5:00 pm.
