A Crystal Lake church is seeking a Manager of Operations to administer the church office, calendar, building, and personnel records.


HOURS: Full Time


PAY: Approx. $50k + Benefits


QUALIFICATIONS:

· Excellent planning and organizational skills.

· Ability to handle multiple projects.

· Ability to work independently and as part of a team.

· Ability to recruit, supervise, and cultivate volunteers.

· Is diplomatic, discreet, and able to maintain confidentiality.

· Excellent interpersonal skills.

· Two to three years’ experience in an office environment.

· “PC” literacy in database management (Microsoft Office, Email Marketing, Canva, Adobe)

· Accepts constructive criticism well.

· Prior supervisory experience desirable.

· Social Media experience desirable.


DUTIES AND RESPONSIBILITIES:

1. Office Management Functions:

a. Hire, supervise, and support paid and volunteer office staff, according to the procedures outlined in the Personnel Policies.

b. Coordinate tasks and projects for paid and volunteer office staff.

c. Oversee the information technologies of the church, including computer systems and networks, servers, WIFI, database, all church emails, etc.

d. Oversee all communications.

e. Maintain office equipment and supplies and arrange for timely repairs as needed.

f. Check and process all-church emails and voicemails daily.

g. Organize and process all church mailings.

h. Maintain all church records, files, and archives.

i. Prepare and file the UCC Annual Report.

j. Prepare and file the FCC Annual Report.

k. Prepare and distribute all documents for Annual Meeting.

l. Prepare and send out the weekly Eblast.

m. Prepare schedule for Sound/Video.

n. Create Church Casting events/worship and post bulletins & graphics to Church Casting.

o. Maintain security cameras and the church door schedule in the Brivo system.


2. Building Management Functions

a. Hire, supervise, and support the Building Manager, according to the procedures outlined in the Personnel Policies.

b. Coordinate projects for the Building Manager and volunteers (as needed).

c. Oversee the maintenance of equipment and supplies, and arrange for timely repairs as needed.

d. Maintain calendar for building usage, reserve space for all functions in the church building, ensure that all paperwork is properly completed, and negotiate use of facilities charges.

e. Oversee all facilities issues.

f. Oversee the Columbarium, assign niches, schedule inurnments.

g. Keep log of bus usage, keys, tables, chairs, sign in/out.


3. Executive Secretary Functions

a. Assist the Senior Minister with tasks related to worship, scheduling, correspondence, pastoral care, and others as assigned.

b. Attend staff meetings and All Ministry Meetings.

c. Maintain and coordinate the church program calendar.

d. Coordinate all details related to baptisms, including scheduling and baptism certificates.

e. Coordinate all details related to weddings, including scheduling.

· Recruit, supervise, support, and work closely with ceremony coordinators.

· Coordinate appointments and maintain calendar, rehearsals, and appointments with ministerial staff.

· Oversee production and distribution of booklets/letters, bulletins, certificates, and other materials.

· Assure that all legal documents are properly filed.

· Record details in church records.

f. Coordinate all details related to funerals and memorial services, including scheduling.

· Recruit, supervise, support, and work closely with funeral coordinators.

· Oversee the production of worship bulletins.

· Record details in church records.

g. Onboard new employee and all administrative details related to their employment. Offboarding departing employees with all administrative details related to the termination of their employment. This includes such items as required paperwork, policies, keys, office assignment, email account, phone messages, background checks, security, website updates, etc.

h. Women’s Fellowship Liaison.

i. Provide coordination for special events, as needed.

j. Process all required background checks and maintain the current log.


4. Financial Administration Duties

a. Hire, supervise, and support the Financial Administrator, according to the procedures outlined in the Personnel Policies.

b. Additional staff contact for member financial needs/pledges.

c. Additional support for Stewardship Campaigns & Capital Campaigns.
