Job DescriptionDescription:
Responsible for overseeing facilities management and semi-operations for multiple locations including security, utilities, mailroom, administration and basic construction operations. Specific responsibility includes but is not limited to: departmental budgeting, maintaining environmental conditions at all responsible locations, building and grounds operations, security for multiple facilities and management of facilities staff including maintenance mechanic. In addition, this position will assist in overseeing Nikon’s fleet management program. Report daily updates to Vice President; Human Resources & Operations.
Requirements:
- Identify goals and objectives consistent with corporate facilities strategic plan and ensure budgetary compliance.
- Ensures the effective performance management of facilities contract services including building maintenance, security, cleaning, waste management, stationery, Environmental, construction and building consultancy services.
- Works to ensure the sourcing of high quality, best value facilities management services while ensuring compliance with all Nikon procurement policies and procedures.
- Administers, plans, and directs service contracts such as landscaping, custodial, plumbing, electrical, mechanical, pest control, generators, fire, life safety, work order management system, and snow removal operations.
- Provides project reviews, inspection and approval of facility renovation and new construction projects.
- Ensures security and emergency preparedness procedures are implemented properly.
- Ensures compliance with organizational Health & Safety policy, processes and procedures in all operational activities, ensuring appropriate risk assessments are
- carried out and corrective actions documented and addressed.
- Understanding of current Landlord/tenant relations and dealing with the operational requirements as necessary.
- Supervise the implementation of security policy, standards, guidelines and procedures to ensure ongoing maintenance of security.
- Assist in overseeing the Nikon Fleet Program including vehicle acquisition and replacement planning, maintenance scheduling, registration, insurance and driver safety initiatives.
- Compute cost of mail permits from postage meter readings.
- Determine work procedures and schedule and expedite workflow (i.e. post office, mail/package delivery).
- Maintain functionality of UPS and FEDEX.
- Maintain inventory of office and printer supplies.
- Advise VP of HR and Operations of potential facilities related opportunities that can better service the Company needs.
- Work outside of normal hours of operation, as needed, in order to fulfill essential functions and responsibilities.
ANCILLARY RESPONSIBILITIES:
- Complete and administer performance evaluations for all direct reports.
- Maintain current and accurate list of employees for mail distribution purposes.
- Adjust mailing errors and resolve internal and external complaints
- Ensure strict adherence to collective bargaining agreement, where applicable.
- Ensure maintenance of mailroom/company vans.
- All other duties as required or needed.
KNOWLEDGE, SKILLS & ABILITIES:
- 5 + years facilities management experience including mailroom/distribution supervisory experience, preferably in a union environment
- High School Diploma or equivalent
- A.A. or equivalent experience
- Technical proficiency including Word and Excel & SAP Experience with CAD based software preferred
- Certified in Facilities Management a plus
- Strong knowledge of maintenance procedures, including preventative and repair processes
- Strong knowledge of reading and comprehending floor plans
- Strong knowledge of mailing/shipping regulations
- Strong knowledge of UPS and FEDEX equipment applications
- Working knowledge of collective bargaining agreements
- Excellent verbal and written communication skills
- Ability to work outside of regularly scheduled work hours as needed
- Ability to be on call 24 hours for building related emergencies
