Position Overview:
We are seeking a Facilities Management Assistant to support the GM/AGM/Facilities Manager in maintaining a large, dynamic condominium property. This role assists with building maintenance scheduling, resident communications, vendor coordination, inspections, and project tracking to ensure seamless operations.

Key Responsibilities:

  • Assist with building maintenance schedules, preventive maintenance, and daily operations.
  • Support facilities projects, including unit renovations, capital improvements, and office moves.
  • Coordinate annual programs such as window washing, pest control, and inspections.
  • Communicate professionally with residents and vendors, responding within 24-48 hours.
  • Draft, proofread, and distribute notices, emails, and reports accurately.
  • Use property management software to maintain records and generate reports.
  • Inspect building facilities and common areas for safety, cleanliness, and compliance.
  • Assist with vendor coordination, invoice tracking, and contract compliance.
  • Support insurance inspections and documentation for audits.
  • Maintain office supply inventory and coordinate repairs and replacements as needed.
  • Participate in Saturday office coverage rotation as required.

Qualifications:

  • High School Diploma or equivalent required; associate/bachelor’s degree preferred.
  • 1-3 years of administrative, facilities, property management, or building operations experience
  • Familiarity with building systems and preventive maintenance is a plus.
  • Excellent communication, organizational, and multitasking skills.
  • Proficiency in Microsoft Office; experience with Building Link or similar software is a plus.
  • Ability to handle confidential information with professionalism.
  • Customer-service-oriented approach.
