NYE also serves as a leading Community-Based Organization (CBO) in the NYC Community Schools initiative, partnering with school leadership to coordinate integrated supports such as expanded learning, family engagement, and wellness services to ensure students and families have access to comprehensive school-based resources.

SUMMARY:

New York Edge is seeking a highly organized, reliable and responsible individual to fill the role of Contract Specialist. Under direct supervision of the Manager of Contracts and Compliance Administration, the Contract Specialist (P/T) will support the Compliance Department in the completion, fulfillment and record keeping of government proposals, reports, contracts, and compliance documents.

This position will also oversee the end-to-end subcontractor operational process. This role is responsible for coordinating with subcontractors, ensuring compliance with project and company standards, and managing documentation, performance, and communication throughout the project lifecycle.

Schedule:

Up to 25 hours per week, Monday - Friday

Primary Job Functions:

  • Maintain multiple government grant and contract portal systems and ensure accurate and timely reports on the status and submission of grants.

  • Keep and maintain consistent and regular tracking of all outreach, grant, and award documentation

  • Update and maintain documents for external government proposals and contracts.

  • Serve a supporting role in New York Edge public RFP responses including identifying school partners, creating task lists, adhering to deadlines and working with staff to complete timely applications and submissions, and assist staff with scheduling meetings

  • Maintain an updated and approved subcontractor database in Salesforce.

  • Act as the primary point of contact between subcontractors and internal project teams.

  • Monitor subcontractor performance and quality throughout the project, addressing delays, scope deviations, or performance issues with internal teams, and resolving conflicts or escalations as needed.

  • Issue, manage, and ensure proper execution, compliance, and archiving of subcontractor agreements and scope of work documents.

  • Track insurance certificates, licenses, and other compliance documents.

  • Ensure third party staff complete all required training for Onboarding Process.

  • Ensure subcontractors adhere to safety, quality, and regulatory standards.

  • Review, organize, and archive files, records, and documents.

  • Additional duties as assigned

Skills/Knowledge:

  • Excellent professional communication (oral and written) and interpersonal skills with proven ability to interact with a diverse range of individuals both in person, over the phone, and through web-based meeting platforms applying tact and discretion

  • Ability to establish and maintain effective working relationships with staff and external partners

  • Must be able to handle multiple tasks using effective organizational and time skills.

  • Strong ability to navigate public grant portals and databases

  • Proficient with Google Applications and Microsoft Office (Word, Excel, PowerPoint), including document editing and tracking changes; knowledge of Salesforce a plus

  • Demonstrated proficiency in organizing and managing multiple projects

  • Ability to work accurately, with strong attention to detail

Qualifications:

  • High School Diploma required; Bachelor’s degree preferred or equivalent years of experience

  • Excellent time management skills and the ability to work towards meeting deadlines

  • Strong organizational and oral communication skills

  • Demonstrated proficiency in organizing and managing multiple projects

  • Ability to work accurately, with strong attention to detail

  • Strong critical thinking and problem-solving skills

  • Ability to work independently
