RESPONSIBILITIES

Interaction with clients, vendors and funders:

  • Act as liaison with vendors and Department of Homeless Services representatives.
  • Outreach and establish relationships with supply vendors.
  • Greet and direct vendors to appropriate locations for site repairs and inspections.

Documentation:

  • Review invoices for accuracy and forward them to the Administrative Assistant and Operations coordinator for review and processing on a timely basis.
  • Review maintenance work orders and assign work to porters and repair technicians as necessary.
  • Maintain inventory log on a monthly basis for all equipment and tools operational, inoperable and discarded.
  • Purchase building supplies and/or equipment, including maintaining appropriate
  • Forward building inspection reports & inventory logs to the Residence Director and Operations Coordinator monthly.
  • Complete program reports on a monthly basis, or more frequently as required.
  • Complete annual performance evaluations for Porters and Technicians.
  • Complete monthly performance progress reports for Porters and Technicians.
  • Maintain training logs, office certificates, etc., to ensure compliance with regulatory agencies as well as BronxWorks requirements.

Administrative:

  • Coordinate with Operations Coordinator and Building Management to maintain efficient operation of the physical plant
  • Train and supervise Repair Technicians and Porters
  • Maintain heating and ventilation systems centrally, in office locations, and in individual units
  • Maintain boiler unit and develop schedules for filter cleanings, check of water levels, and boiler room maintenance
  • Maintain common area lighting, emergency exit doors and lights, laundry facilities, pool areas, outdoor lighting, gymnasium lighting, entranceways and other exit doors, maintain sewer drains and traps
  • Maintain all venting systems, including lint traps and dryers in laundry rooms
  • Perform exterminating services on spot basis
  • Participate in and be responsible for stand-by emergency schedule for evenings, weekends and holidays
  • Responsible for cleaning, painting, and replacement of defective fixtures when an apartment becomes vacant
  • Assist new residents in getting settled and acquainted with the operation of appliances. Fixtures, emergency equipment; prepare the apartment move-in inspection form.
  • Conduct inspections as usual as required for preventative maintenance program and keep records of such inspection · Make weekly “roof to cellar” inspections
  • Perform additional duties as assigned

Trainings/Supervision:

  • Report to, and meet with, supervisor on a minimum monthly basis.
  • Train staff on protocol, policies and procedures as needed.
  • Perform other duties as assigned by the manage

QUALIFICATIONS

  • High School Diploma or equivalent and at least two (2) years of experience working in a shelter, community center, or other large institutional setting
  • Experience in building management, as well as initiating and developing building cleaning standards to conform with high levels of expectation
  • Certification in operation of all fire department standards such as Standpipe with City Mains, Fire Drill Conductor, Maintenance of I side Alarm System, Supervision of Low PSI Oil Burner, etc.
  • Proficiency in English required; proficiency in second language preferred
  • Valid, clean driver’s license from the state in which the bearer resides preferred
  • Basic computer skills
  • Pool operator’s certificate preferred

REQUIRED CERTIFICATES

  • FDNY boiler certificate of fitness P99 (Low PSI Oil Burner)
  • FDNY sprinkler certificate of fitness (if the building has a sprinkler) S12
  • FDNY standpipe certificate of fitness (if building has a standpipe) S13 & S14
  • FDNY Fire Safety Coordinator Certificate of Fitness F80
  • F85 at Willow (Fire Safety Director/ Active Shooter and Medical
    Emergency Prep)
  • OSHA 10-hour class
  • Requirements are subject to change.

PHYSICAL REQUIREMENTS

  • Ability to use a computer for prolonged periods.
  • Ability to lift, pull, push and/or move a minimum of 60 pounds
  • Ability to stand, walk, crouch or sit for long periods of time
  • Ability to climb five flights of stairs, if required to conduct home visits and/or fieldwork.
  • Ability to bend and retrieve objects and/or documents.
  • Ability to travel in the boroughs of New York City and its adjacent counties via public transportation.
  • Ability to travel for a minimum of 1 mile within a reasonable amount of time and in all types of weather, including inclement weather, if required to conduct home visits and/or field work.
