Randall Electrical Contractors (REC) is currently seeking a top-tier Project Coordinator to work in our office in Titusville, FL andon projects along the Space Coast. We are excited about this important role and are determined to consider the best and brightest candidates who meet our requirements.


Position Summary

At Randall Electrical Contractors, the Project Coordinator supports the management of electrical projects by gathering equipment, resources and information to implement and track current and upcoming projects. Their main duties include maintaining budgets and work schedules, organizing information and ensuring all deadlines for projects are met.

Essential Functions

  • Weekly status/manpower/estimating meetings (bi-weekly), provide agenda with current talking points including manpower needs, track “minutes”, Safety Class schedules, new policies/procedures, discuss current projects and award projections.
  • Assist with Badging / Background checks for REC Employees, Subcontractors, and our main vendors: maintain and update spreadsheet to track expirations and renewals for REC employees.
  • Provide Lien Releases to clients – interim & for payment draws.
  • AR Collections – weekly contact clients for payment status of outstanding AR / Update and Maintain Spreadsheet, File checks as they come in, email copies to accountant.
  • Maintain and support client relations.
  • Prepare subcontracts, assemble subcontracts with supporting documents, track subcontracts for return of documents from subs.
  • Complete client prequalification packages
  • Prepare Gear / Lighting packages, track POs for Fully Executed copies on file.
  • Owner Direct Pay (ODP) Accounts: Set up and monthly reports to GC.
  • New job set up tasks which include entering new projects into Sage, Project Manager Job Start Up sheets, open vendor job accounts, request (REC) Bonds when needed, request GC Bonds / NOCs, insurance certificates, create job folders, complete job start up, enter budgets, file maintenance, update job list, update AR/Collections spreadsheet, prepare/provide clients SF1413’s, update Bid Log
  • Maintain / Update job list: % of completion, contract values.
  • Enter & track Contract Change Orders & Subcontractor Change Orders
  • File construction notices, monitor lien rights when necessary.
  • Maintain AR-Collection Spreadsheet (daily) & Cash Flow Spreadsheet for HQ
  • Permitting when needed
  • Enroll employees in various job specific safety courses and industry required certifications.
  • Renewal and enrollment to SAM.gov
  • Prepare & update company BIO, resume, and presentations.
  • Update and maintain company forms.
  • Assist with various tasks where / when needed.
  • Apprenticeship Program Representative.
  • Apply for sponsorship at new schools as needed for apprenticeship program.
  • Enroll students upon John's approval.
  • Apply for certifications for apprentices on prevailing wage jobs and request credit as needed.
  • Keep track of absences & the level of each apprentice.
  • Check eligibility of employee to verify if they can be added as a driver to insurance.
  • Assist with entering Gear & Lighting Purchase Orders, Subcontracts, Change Orders in Sage.
  • Maintain company vehicle list & distribute updated tags and insurance info.
  • Keep track of iPads assigned to employees.
  • Assist with answering the phones, receiving packages, assisting walk-ins, and ordering supplies.
  • Notarize documents as needed.
  • Coordinate meetings as needed.

Desired Qualification Requirements

· High School Diploma required.

· Communication skills (can speak to people in a professional environment).

· Time conscious (can be on time and efficient).

· Demonstrate dependability, flexibility, and teamwork.

· Ability to pass drug screen and reference check.

· Ability to follow verbal and written instructions.

· Ability to adhere to, implement, and follow safety procedures at all times.

· Ability to work well with others.


Physical Requirements

This is primarily an office position and, as such, you must be able to sit up to six or more hours in an eight-hour workday, lift light objects such as files and paperwork frequently during the day, and objects weighing up to 10 pounds occasionally during the day. You must also be able to bend, stretch, crouch, and lift as required by the job.
