The Talent Acquisition Operations Coordinator provides operational, administrative, and workforce support to the Talent Acquisition team while serving as a key employee resource across both 1st and 2nd shifts. This role is responsible for onboarding administration, workforce system maintenance, DLMS support, employee transactions, hiring administration, and employee support activities.

Working a schedule of 11:00 AM to 7:00 PM, this position extends Talent Acquisition and workforce support coverage beyond normal business hours, ensuring employees, candidates, supervisors, and operational leaders receive timely assistance. The coordinator serves as a critical partner in maintaining accurate workforce data, supporting hiring operations, onboarding new employees, processing workforce transactions, and assisting with day-to-day employee needs.


Essential Duties and Responsibilities

Talent Acquisition & Hiring Operations

  • Support recruiters with hiring and onboarding administrative functions.
  • Coordinate candidate communications throughout the hiring process.
  • Prepare and process offer documentation and hiring packets.
  • Schedule pre-employment activities and onboarding appointments.
  • Coordinate employee start dates and onboarding schedules.
  • Track candidate movement through the hiring process.
  • Maintain recruiting records and applicant tracking systems.
  • Assist Talent Acquisition leadership with hiring metrics and reporting.

DLMS & Workforce Administration

  • Serve as a primary support resource for DLMS workforce transactions and employee maintenance activities.
  • Process employee additions, transfers, status changes, and workforce updates within DLMS.
  • Review workforce records to ensure data accuracy and compliance.
  • Maintain accurate employee information across workforce management systems.
  • Research and correct data discrepancies involving employee records.
  • Assist supervisors and managers with workforce system questions and requests.
  • Support workforce administration activities impacting payroll, scheduling, and employee records.
  • Generate workforce reports and provide data support to HR, Operations, and site leadership.

Onboarding & New Hire Support

  • Coordinate and facilitate all onboarding activities for new employees.
  • Ensure onboarding documentation is completed accurately and on time.
  • Prepare new hire materials, badges, and onboarding packets.
  • Monitor onboarding completion and follow up on outstanding requirements.
  • Partner with HR, Operations, Security, and site leadership to ensure a seamless onboarding experience.
  • Support orientation preparation and onboarding logistics.
  • Assist employees with employment documentation and onboarding-related questions.
  • Help create a positive and engaging first-day experience for all new hires.

Employee & Shift Support

  • Serve as the primary workforce support contact during late 1st shift and 2nd shift hours.
  • Provide frontline support for employee questions regarding payroll, attendance systems, onboarding status, employment documentation, and company processes.
  • Support supervisors and managers with workforce administration requests.
  • Assist employees with navigating company systems and processes.
  • Escalate complex employee concerns to Human Resources, Payroll, Benefits, or other appropriate departments.
  • Support workforce communications and employee engagement initiatives.
  • Provide consistent support coverage to site operations during extended business hours.

Reporting & Administrative Support

  • Maintain workforce records and employee data with a high degree of accuracy.
  • Generate hiring, onboarding, attendance, and workforce reports.
  • Support reporting requests from Talent Acquisition, Operations, Finance, and HR leadership.
  • Utilize Microsoft Excel to track workforce metrics and operational trends.
  • Create and manage Microsoft Forms used for workforce administration and employee initiatives.
  • Support process improvement initiatives and administrative projects.


Qualifications

Required

  • High school diploma or GED.
  • Minimum of 1-2 years of experience in Talent Acquisition, Human Resources, workforce administration, onboarding, or administrative support.
  • Experience supporting employee onboarding processes.
  • Strong organizational and multitasking abilities.
  • Strong Microsoft Excel skills.
  • Excellent verbal and written communication skills.
  • Ability to work independently while supporting multiple departments.
  • Ability to maintain confidentiality and handle sensitive employee information.
  • Strong attention to detail and data accuracy.

Preferred

  • Associate degree or higher in Human Resources, Business Administration, or related field.
  • Experience working within DLMS or workforce management systems.
  • Experience supporting manufacturing or distribution environments.
  • Experience with onboarding administration and employment documentation.
  • Experience creating Microsoft Forms and workflow automation solutions.
  • Bilingual (English/Spanish) preferred.
